Senior Event & Client Servicing Manager
Location: Pune, Maharashtra

About the Role
We are looking for an experienced, highly organised and proactive Senior Event & Client Servicing Manager to join our growing event business in Pune.
This is a key role in the organisation. The person will work closely with the Founder and will be responsible for taking event opportunities from the initial client enquiry through proposal, pitching, follow-ups, commercial discussions and eventually event execution.
We are looking for someone who can independently manage responsibilities rather than simply execute instructions.
The ideal candidate should be equally comfortable sitting in a client meeting, developing an event concept, creating a presentation, preparing a costing, coordinating with vendors and following up with a client.
This is an opportunity for someone who wants to play a significant role in building and growing an event business.

Key Responsibilities
1. Client Servicing & Business Development
- Handle incoming event enquiries and understand client requirements.
- Coordinate with prospective and existing clients.
- Attend client meetings along with the Founder and gradually take ownership of client servicing.
- Prepare meeting agendas, briefs and follow-up action points.
- Maintain regular communication with clients throughout the sales and execution cycle.
- Follow up on proposals, quotations and pending decisions.
- Understand client budgets, expectations and timelines.
- Identify opportunities for repeat business and upselling.
- Maintain a structured database/CRM of enquiries and prospects.
- Ensure no lead or client follow-up is missed.
2. Event Concepts & Proposals
- Convert client briefs into relevant event concepts and experiences.
- Research themes, décor ideas, entertainment, activities, production elements and experiential opportunities.
- Develop event proposals and pitch presentations.
- Create and structure PowerPoint presentations with strong storytelling.
- Source visual references and moodboards appropriate to the proposed concept.
- Develop event journeys, guest experiences and event flow.
- Present ideas internally and work with the Founder to refine concepts before presenting to clients.
3. Costing & Commercials
- Prepare event budgets, quotations and BOQs.
- Obtain and negotiate quotations from vendors and freelancers.
- Understand event production costs and commercial implications.
- Ensure proposals are commercially viable and aligned with the company's pricing strategy.
- Track revisions in client requirements and their impact on budgets.
- Coordinate with the Founder on final pricing and commercial negotiations.
4. Event Planning & Execution
Once an event is confirmed:
- Convert the proposal into a detailed execution plan.
- Prepare event timelines, checklists and responsibility matrices.
- Coordinate with production vendors, decorators, entertainers, fabricators, AV teams, manpower agencies and other freelancers.
- Brief vendors and ensure requirements are clearly communicated.
- Track deliverables, deadlines and budgets.
- Coordinate venue visits and production meetings.
- Ensure the event is delivered according to the approved concept, scope and budget.
- Be involved in on-ground execution whenever required.
5. Freelancer & Vendor Management
Our business works with a strong network of project-based freelancers and specialist vendors.
You will be responsible for:
- Identifying suitable vendors/freelancers for each requirement.
- Requesting and comparing quotations.
- Negotiating commercial terms.
- Briefing and coordinating with them.
- Maintaining a reliable vendor database.
- Ensuring freelancers and vendors deliver as committed.
- Building long-term relationships with reliable partners.

Experience Required
Candidates should ideally have 4–7 years of experience with an:
- Event Management Agency
- Experiential Marketing Agency
- Corporate Events Company
- Brand Activation Agency
- Wedding/Event Production Company with strong corporate event exposure
Candidates who have handled end-to-end corporate events will be preferred.
Experience with corporate conferences, annual functions, award nights, product launches, dealer meets, employee engagement events, exhibitions, brand activations and MICE events will be an advantage.

The role will involve a combination of:
Office Work + Client Meetings + Vendor Meetings + Venue Visits + Event Execution
The candidate should therefore be comfortable being hands-on and working across different stages of an event.

Within the first 6 months, the successful candidate should be able to:
- Independently manage incoming event enquiries.
- Prepare strong first drafts of proposals and presentations.
- Attend client meetings confidently.
- Manage client follow-ups without constant supervision.
- Prepare accurate preliminary event budgets.
- Coordinate vendors and freelancers effectively.
- Manage multiple proposals simultaneously.
- Take ownership of confirmed events.
- Reduce the Founder’s day-to-day operational workload significantly.
- Become the primary point of coordination between clients, the Founder and the execution team.

Compensation
₹6–10 LPA, depending on experience, capabilities and previous track record.
Exceptional candidates with strong client-facing and end-to-end event experience may be considered outside this range.
