Job Purpose
The Manager – Administration oversees end-to-end corporate office operations, facility maintenance, infrastructure management, transport logistics, and regulatory compliance. This role serves as the primary liaison between the organization and local government bodies, statutory authorities, and municipal agencies to ensure smooth operational continuity and total legal compliance.
Key Responsibilities1. Liaison & Statutory Compliance
Lead official communications and maintain professional relationships with local municipal corporations, electricity boards, fire departments, pollution control boards, and police/local authorities.
Oversee property tax assessment, timely payments, documentation, and resolution of property tax disputes or assessments.
Manage state regulatory requirements, including obtaining and renewing Factory Licenses, Fire NOCs, and environmental clearances.
2. Building Maintenance & Facilities Management
Manage day-to-day operations, repair, and maintenance of corporate office buildings and attached factory facilities (if applicable).
Oversee preventative and corrective maintenance schedules for critical infrastructure (HVAC, DG sets, Elevators, UPS, Plumbing, and Electrical systems).
Supervise soft services, including housekeeping, pest control, waste management, security, and cafeteria services.
Monitor energy consumption, optimize electricity usage, and liaise with electricity distribution companies (DISCOMs) regarding power sanctions, load extensions, and billing issues.
3. Transport & Fleet Management
Oversee company Vehicle operations /corporate fleet management, driver deployment.
Manage vendor contracts for cab services, rental vehicles, and logistics support.
Ensure vehicle safety compliance, regular servicing, insurance renewals, fitness certificates, and fuel tracking.
4. Vendor Management & Procurement
Draft Scope of Work (SOW), negotiate terms, and finalize Service Level Agreements (SLAs) for facility and admin vendors.
Monitor vendor performance, evaluate SLAs, and manage monthly billing and invoice verification.
Handle procurement of office supplies, furniture, stationary, and capital equipment for corporate facilities.
5. Budgeting & Financial Control
Prepare annual administrative, maintenance, and utility budgets; track operational expenditures (OPEX) against allocated targets.
Implement cost-saving initiatives across utilities, facility maintenance, and fleet operations without compromising service quality.
Required Qualifications & Experience
Education: Bachelor’s degree in Business Administration, Public Administration, Facilities Management, or a related field (MBA preferred).
Experience: 10–15 years of hands-on experience in corporate administration, infrastructure maintenance, and statutory liaisoning.
Industry Background: Manufacturing or large Corporate conglomerates with multi-facility setups.
Technical Skills & Competencies
Regulatory Knowledge: Deep understanding of local municipal laws, property tax structures, state factory rules, and fire safety norms.
Liaison Skills: Exceptional interpersonal, networking, and negotiation skills with government officials and external stakeholders.
Technical Aptitude: Understanding of electro-mechanical equipment (MEP), building management systems (BMS), and facility safety protocols.
Logistics Acumen: Strong command over transport routing, vendor SLAs, and fleet safety compliance.
Leadership & Crisis Management: Ability to handle emergency situations (e.g., power outages, fire drills, regulatory inspections) with composure and quick resolution.
Key Performance Indicators (KPIs)
100% Statutory Compliance: Zero penalty or delay in property tax, electricity billing, factory licenses, or Fire NOC renewals.
Facility Uptime: 99%+ operational availability for critical infrastructure (Power, HVAC, Elevators).
Transport Efficiency: On-time employee transit performance and optimal fleet cost per kilometer.
Budget Adherence: Maintaining admin OPEX within the approved annual budget targets.
