Role Overview
We are looking for a highly organized, proactive, and professional Personal Assistant to the Director to provide comprehensive executive and administrative support.
The ideal candidate will be responsible for managing the Director’s day-to-day schedule, coordinating meetings and appointments, organizing travel, handling correspondence, tracking follow-ups, and ensuring that key tasks and commitments are completed on time.
This is a high-trust, high-responsibility role that requires excellent judgment, confidentiality, attention to detail, and the ability to anticipate the Director’s requirements rather than simply respond to instructions.
Key Responsibilities
Manage the Director’s calendar, diary, appointments, meetings, and daily schedule.
Coordinate internal and external meetings with senior management, clients, vendors, consultants, and other stakeholders.
Organize domestic and international travel, including flights, hotels, itineraries, transportation, and related arrangements.
Prepare and manage correspondence, presentations, reports, briefing notes, and other executive documents.
Maintain accurate records, files, contact information, and confidential documentation.
Track action points, commitments, deadlines, and follow-ups arising from meetings and discussions.
Coordinate with internal departments to ensure timely execution of instructions and pending matters.
Liaise professionally with clients, business associates, consultants, government officials, vendors, and other external stakeholders.
Assist the Director in preparing for meetings by compiling relevant information, documents, presentations, and updates.
Support the Director in coordinating special projects, reviews, business meetings, and events.
Screen and prioritize communications, ensuring important matters receive timely attention.
Handle sensitive and confidential information with absolute discretion and integrity.
Anticipate the Director’s requirements and proactively address routine administrative and coordination needs.
Maintain a professional and organized working environment around the Director.
Candidate Profile
We are looking for someone who is mature, dependable, articulate, well-presented, and exceptionally organized, with the ability to work independently and manage multiple priorities.
Required Skills & Qualifications
Prior experience as a Personal Assistant, Executive Assistant, or in a similar executive support role.
Strong experience in diary and calendar management, scheduling, and executive coordination.
Excellent organizational and time-management skills.
Strong written and verbal communication skills in English.
Excellent proficiency in MS Office, particularly Word, Excel, PowerPoint, and Outlook.
Ability to prepare professional correspondence, reports, presentations, and documents.
Strong follow-up and coordination skills, with the ability to ensure tasks are completed within deadlines.
High attention to detail and accuracy.
Ability to handle confidential and sensitive information with complete discretion.
Strong interpersonal skills and a professional demeanor when interacting with senior executives and external stakeholders.
Ability to work under pressure, manage changing priorities, and operate in a fast-paced business environment.
A proactive approach with the ability to anticipate requirements and take ownership of tasks.
Graduate or postgraduate qualification in Business Administration, Commerce, Management, or a related discipline is preferred.
Experience in engineering, manufacturing, infrastructure, marine, automotive, or other technical industries will be an advantage.
