About the role:
We are looking for a highly organised and proactive Project Manager to manage projects across Obleeq Studio and act as the bridge between our clients, creative team and leadership.
This is not purely a task-management role. We are looking for someone who understands how a creative studio functions, can confidently manage clients, keep multiple projects moving simultaneously, support the team internally, and take ownership of the operational details that ensure projects run smoothly.
The ideal candidate should have prior experience in a branding, design, digital marketing or advertising environment and be comfortable working closely with designers, strategists, content teams, developers and clients.
Key Responsibilities:1. Project Management
Manage multiple ongoing branding, packaging, website, social media and other creative projects simultaneously.
Create and manage project timelines, milestones and internal deadlines.
Allocate tasks to relevant team members and ensure deliverables are completed on time.
Conduct regular project check-ins and proactively follow up with the team rather than waiting for deadlines to be missed.
Track client feedback, revisions, approvals and pending requirements.
Identify potential delays or bottlenecks early and find solutions before they affect the overall project.
Maintain visibility on the status, next steps and dependencies of every active project.
Ensure projects remain aligned with the agreed scope, timeline and deliverables.
2. Client Management & Communication
Act as a primary point of contact for clients once projects are onboarded.
Maintain professional, clear and timely communication with clients.
Schedule and conduct regular client meetings and project update calls.
Understand client feedback and translate it into clear, actionable instructions for the internal team.
Manage expectations around timelines, revisions, deliverables and dependencies.
Handle difficult conversations, delays or feedback calmly and professionally.
Build strong client relationships while protecting the team's time and agreed scope of work.
3. Discovery Calls & Client Onboarding
Assist the Founder/Creative Director during discovery calls with prospective clients.
Understand client requirements, project objectives, timelines and expected deliverables.
Take structured notes and convert discussions into clear internal briefs.
Coordinate quotations, proposals, scope documents and contracts for new projects.
Manage the onboarding process once a project is confirmed.
Ensure all necessary information, documentation, advance payments and project assets are received before work begins.
Conduct internal kick-off meetings and brief the relevant team members.
4. Team Management & Leadership
Manage day-to-day coordination between designers, strategists, content teams, developers and other collaborators.
Allocate responsibilities clearly and ensure accountability across projects.
Conduct regular internal check-ins and ensure priorities are understood.
Help the team plan workloads realistically across multiple projects.
Be approachable but firm when it comes to deadlines and accountability.
Resolve minor internal roadblocks independently and escalate issues when necessary.
Maintain a positive, respectful and solution-oriented working environment.
Demonstrate strong leadership, patience and people-management skills.
5. Accounts & Commercial Coordination
This role does not require an accounting background, but the Project Manager should be comfortable handling basic project-related commercial coordination.
Responsibilities include:
Coordinate preparation of quotations and proposals.
Ensure contracts are prepared, signed and properly documented.
Track project payment schedules and invoice milestones.
Coordinate with the accounts team for invoice generation.
Follow up professionally with clients regarding pending invoices and payments.
Maintain visibility on advances, pending payments and upcoming billing milestones.
Ensure commercial documentation is organised and accessible.
6. Internal Operations
Maintain organised project documentation, meeting notes, briefs and approvals.
Ensure internal systems and project-management tools are regularly updated.
Improve workflows wherever recurring inefficiencies are identified.
Help establish processes that make communication between clients and the creative team smoother.
Support the Founder/Creative Director by taking ownership of routine project coordination and follow-ups.
