Senior Manager – Export Import & Logistics

Position Summary
The Senior Manager – Export Import & Logistics will be responsible for managing and overseeing the Company's end-to-end international trade operations, including exports, imports, customs compliance, logistics management, customer coordination, regulatory adherence, documentation, and supply chain efficiency. The role requires ensuring smooth and cost-effective movement of goods across international borders while maintaining full compliance with applicable Indian and international trade regulations.
Key Responsibilities
1. Export & Import Operations Management
• Manage and oversee end-to-end export and import activities, including order execution, shipment planning, customs clearance, documentation, and delivery coordination.
• Ensure timely movement of goods across international borders while complying with all applicable statutory and regulatory requirements.
• Monitor shipment schedules and proactively address operational bottlenecks to ensure timely deliveries.
• Coordinate with production, procurement, sales, finance, logistics, and external stakeholders for smooth execution of shipments.
2. Regulatory Compliance & Documentation
• Ensure compliance with Indian Customs regulations, DGFT requirements, FEMA provisions, Foreign Trade Policy, GST requirements, and applicable international trade regulations.
• Review and approve all import-export documentation including:
· Commercial Invoices
· Packing Lists
· Shipping Bills
· Bills of Lading
· Airway Bills
· Certificates of Origin
· Letters of Credit (LC)
· Bank Export Documents
· Insurance Documents
· Other statutory documents
• Ensure accurate and timely submission of documentation to customs authorities, banks, customers, and regulatory agencies.
• Stay updated on changes in trade regulations and implement necessary compliance measures.
3. Logistics & Freight Management
• Manage relationships with freight forwarders, shipping lines, airlines, customs brokers, transporters, and logistics service providers.
• Negotiate freight rates, transportation contracts, and service agreements to optimize logistics costs.
• Identify opportunities for reducing freight, warehousing, and shipment costs without compromising service levels.
• Monitor logistics performance and ensure cost-effective and efficient transportation solutions.
4. Customer Service & Stakeholder Management
• Act as the primary point of contact for customers regarding shipment status, documentation, delivery schedules, and export-import related queries.
• Ensure timely, accurate, and professional communication with customers, vendors, government authorities, and internal stakeholders.
• Proactively communicate shipment delays, regulatory issues, or operational challenges to customers and management.
• Drive customer satisfaction through efficient coordination and service excellence.
5. Team Leadership & Performance Management
• Lead, mentor, and supervise the Export-Import team to achieve operational excellence.
• Establish performance objectives, monitor productivity, and ensure adherence to company policies and compliance requirements.
• Develop team capabilities through training, coaching, and knowledge-sharing initiatives.
• Foster a culture of accountability, customer focus, and continuous improvement.
6. Cost Control & Process Improvement
• Monitor operational costs and identify opportunities for process optimization and cost savings.
• Develop and implement best practices for shipment planning, documentation management, and logistics coordination.
• Introduce process improvements to enhance efficiency, accuracy, and customer responsiveness.
• Drive automation and digitalization initiatives within export-import operations wherever feasible.
7. MIS, Reporting & Analytics
• Prepare and present periodic MIS reports related to:
· Export & Import Performance
· Shipment Status
· Logistics Costs
· Freight Analysis
· Customs Compliance
· Customer Service Metrics
• Maintain effective tracking systems and dashboards for monitoring team performance and operational efficiency.
• Provide actionable insights and recommendations to senior management.
8. Audit, Compliance & Supply Chain Assurance
• Support and coordinate internal, external, customer, statutory, and compliance audits related to supply chain and trade operations.
• Ensure compliance with customer-specific requirements relating to packaging, labeling, certifications, transportation, and product traceability.
• Coordinate with certification bodies, auditors, and regulatory agencies as required.
• Ensure proper record maintenance and audit readiness at all times.
Functional Competencies
The ideal candidate should possess:
• Strong knowledge of international trade practices and Incoterms.
• Thorough understanding of customs regulations, DGFT procedures, export incentives, duty structures, and foreign trade compliance.
• Sound knowledge of logistics, freight forwarding, warehousing, and supply chain operations.
• Experience in handling Letters of Credit (LC), export finance documentation, and banking procedures.
• Strong analytical, problem-solving, negotiation, and decision-making skills.
• Excellent communication, coordination, and stakeholder management abilities.
• Ability to multitask, prioritize competing demands, and work under pressure.
• Strong command over Microsoft Excel, ERP systems, and reporting tools.
Educational Qualifications
• Master's Degree in Commerce, Management, Supply Chain, Logistics, International Business, or a related discipline.
• Post-Graduation in International Business, Supply Chain Management, Logistics, or Foreign Trade will be an added advantage.
Experience
• Minimum 10-12 years of relevant experience in Export-Import Operations, Logistics, International Trade, or Supply Chain Management.
• At least 3-5 years of experience in a supervisory or managerial role leading teams.
• Experience in handling both export and import operations in a manufacturing, trading, or international business environment.
