We are looking for a motivated and organized Human Resources Administrator to support our day-to-day HR operations and help build efficient people-management processes as the organization grows.
Job Summary
The Human Resources Administrator will be responsible for supporting the complete employee lifecycle, maintaining employee records, coordinating recruitment activities, managing HR documentation, assisting with payroll and attendance processes, and ensuring smooth day-to-day HR administration.
The ideal candidate should have good communication and organizational skills, attention to detail, basic knowledge of HR practices, and the ability to manage confidential employee information professionally.
Key Responsibilities1. HR Administration
· Maintain and regularly update employee records and HR databases.
· Manage employee documentation, including joining forms, personal records, agreements, and other HR documents.
· Prepare and maintain employee files and HR trackers.
· Support employee onboarding and exit formalities.
· Maintain HR policies, procedures, and documentation.
· Ensure HR records are accurate, complete, and up to date.
· Maintain confidentiality of employee and company information.
2. Recruitment Support
· Coordinate with the recruitment team for current and upcoming vacancies.
· Post job openings on appropriate job portals and social-media platforms.
· Screen applications and resumes based on defined requirements.
· Schedule interviews and coordinate with candidates and interviewers.
· Maintain candidate databases and recruitment trackers.
· Follow up with candidates throughout the recruitment process.
· Prepare offer and appointment documentation as required.
· Support joining formalities for selected candidates.
3. Employee Onboarding
· Coordinate the complete employee joining process.
· Collect required employee information and documents.
· Prepare onboarding checklists.
· Coordinate induction and orientation programs.
· Introduce new employees to company policies, processes, and workplace practices.
· Coordinate system, access, and workspace requirements with the relevant teams.
· Ensure all joining documentation is completed within the required timeline.
4. Attendance and Leave Management
· Maintain employee attendance records.
· Monitor leave applications and balances.
· Coordinate with employees and managers regarding attendance discrepancies.
· Prepare monthly attendance reports.
· Support payroll-related attendance inputs.
· Maintain records of holidays, leave, permissions, and other employee attendance information.
5. Payroll and HR Reporting Support
· Provide accurate attendance and leave information for payroll processing.
· Maintain salary and employee-related HR data.
· Coordinate with management/accounts for payroll inputs.
· Prepare monthly HR reports and MIS.
· Track employee headcount, joining, resignation, attrition, and other HR metrics.
· Maintain HR dashboards and Excel-based reports.
6. Employee Engagement
· Support employee engagement activities and internal communication.
· Coordinate employee meetings, events, celebrations, and training programs.
· Assist in collecting employee feedback.
· Support initiatives to improve employee experience and workplace culture.
7. Training & Development Support
· Coordinate internal and external employee training programs.
· Maintain training calendars and participation records.
· Track employee training completion.
· Collect training feedback and maintain training documentation.
· Support Aakam’s skill-development and workforce-training initiatives.
8. Employee Exit Management
· Coordinate resignation and exit formalities.
· Maintain resignation and notice-period records.
· Schedule exit interviews where applicable.
· Coordinate clearance processes with relevant departments.
· Maintain full-and-final settlement inputs.
· Update employee records after separation.
9. HR Compliance Support
· Maintain required HR documentation and registers.
· Support compliance-related HR activities.
· Ensure employee records are maintained according to company procedures.
· Assist management with HR documentation and periodic audits.
· Keep track of important employee-related deadlines and renewals.
Required Skills
