What you'll do As an Executive Assistant, you will play a pivotal role in keeping the Enterprise Customer Success organization running smoothly and efficiently by providing high-level administrative support to executive leadership. Operating as a proactive and highly organized partner, you will provide primary administrative support to the Vice President of Enterprise Customer Success, Americas, while also supporting an additional Vice President. You will manage complex calendars, coordinate travel logistics, assist with team-building events, and drive operational efficiency in a fast-paced environment. By leveraging exceptional communication and multitasking capabilities, you will maximize executive time and empower the broader team to achieve its business objectives. This position is an individual contributor role reporting to the Vice President of Enterprise Customer Success, Americas. Responsibility Provide high-level executive support by managing executive calendars, scheduling internal and external meetings, and resolving scheduling conflicts Deliver strategic calendar gatekeeping based on an innate understanding of key priorities and executive objectives Participate in executive meetings when appropriate, record meeting notes, and follow up on action items Prepare presentation materials using Google Slides and office software for internal executive meetings and external engagements Assist in organizing departmental All Hands meetings, off-site sessions, and virtual team-building events Arrange end-to-end domestic and international travel logistics Identify potential roadblocks and prioritize executive time based on a holistic awareness of company-level priorities Prepare expense reports and manage monthly credit card purchasing reporting in a timely manner Create and manage purchase orders to support departmental needs Maintain updated team alias distribution lists, Slack channels, and shared repository folders Manage onboarding schedules and logistics for new senior leaders joining the department Perform administrative projects and act as a back-up support resource for other Executive Assistants as needed Job Designation Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation) Positions at Docusign are assigned a job designation of either In Office, Hybrid or Remote and are specific to the role/job. What you bring Basic BS/BA degree or equivalent work experience 4+ years of experience supporting Executives or Leaders within high-growth companies Experience with Google Workspace, Microsoft Word, PowerPoint, Excel, and Zoom Preferred Experience working at a start-up or rapidly growing technology company Demonstrated ability to manage multiple executives with differing working styles Excellent written and verbal communication skills Strong organizational skills and high level of integrity with demonstrated discretion in handling confidential information Ability to adapt quickly in response to changing priorities and minimal direction Looks for ways to leverage AI and technology to achieve quality and efficiency Ability to execute tasks and make informed decisions with little to no executive intervention, exercising high-level discretion and sound judgment Experience with Concur, NetSuite, and Slack applications Wage Transparency Pay for this position is based on a number of factors including geographic location and may vary depending on job-related knowledge, skills, and experience. Based on applicable legislation, the below details pay ranges in the following locations: California: $47.10 - $68.53/hour This role is also eligible for the following: Bonus: Sales personnel are eligible for variable incentive pay dependent on their achievement of pre-established sales goals. Non-Sales roles are eligible for a company bonus plan, which is calculated as a percentage of eligible wages and dependent on company performance.
