About the Role
We are looking for a proactive, organized, and people-oriented Human Resource Executive to manage day-to-day HR operations, recruitment, employee records, attendance, payroll coordination, statutory compliance, employee engagement, performance management, and exit formalities.
The ideal candidate should have strong communication skills, attention to detail, confidentiality, and the ability to independently handle routine HR activities while coordinating effectively with employees, managers, and management.
Key Responsibilities1. Manpower Planning & Recruitment
Collect manpower requirements from different departments.
Evaluate whether the requested manpower is genuinely required.
Understand and confirm job role, responsibilities, experience, and required skills.
Confirm salary range and urgency of hiring.
Post job openings on recruitment portals, social networks, and other hiring channels.
Source and screen resumes.
Shortlist candidates based on role requirements.
Conduct initial telephonic screening.
Schedule interviews with department managers.
Coordinate the complete recruitment process until selection.
2. Offer & Joining Formalities
Prepare and share offer letters with selected candidates.
Explain salary structure, employment terms, policies, and working conditions.
Confirm joining date and coordinate pre-joining requirements.
Collect required joining documents.
Create and maintain employee files and HR records.
Coordinate workstation, system, email, and other access requirements.
Conduct employee induction and explain HR policies, rules, and procedures.
3. Attendance & Leave Management
Monitor daily employee attendance.
Track late coming, absenteeism, and attendance irregularities.
Share attendance concerns with respective managers.
Receive and process employee leave requests.
Check employee leave balances.
Obtain required manager approvals.
Maintain accurate leave and attendance records.
Track late marks and repeated attendance violations.
4. Payroll Coordination
Collect and verify monthly attendance and leave data.
Prepare monthly salary inputs/salary sheets.
Calculate salary-related deductions and adjustments.
Coordinate payroll processing with management/accounts/payroll team.
Prepare data required for PF, ESI, PT, TDS, and other applicable statutory requirements.
Cross-check payroll data for accuracy before processing.
Coordinate to ensure statutory returns and payments are completed within applicable timelines.
5. HR Records & Documentation
Maintain complete and updated employee files.
Maintain offer letters, appointment letters, confirmation letters, appraisal letters, warning letters, and other HR documents.
Ensure employee records are accurate, updated, confidential, and securely maintained.
Track important employee dates such as probation completion, confirmation, appraisals, and reviews.
Maintain HR databases and trackers.
6. Performance & Probation Management
Track employee probation and review dates.
Coordinate probation reviews with reporting managers.
Collect performance feedback.
Maintain performance review records.
Coordinate appraisal and confirmation processes.
Follow up with managers on pending performance reviews.
7. Training & Development
Identify and collect employee training requirements.
Coordinate with managers to identify skill gaps.
Schedule training sessions and coordinate logistics.
Maintain training calendars and attendance records.
Track completion and participation in training programs.
Maintain employee training records.
8. Employee Discipline & Counselling
Monitor workplace discipline and policy compliance.
Track repeated late marks, absenteeism, and other violations.
Coordinate counselling sessions with employees where required.
Prepare and issue warning letters as per company policy.
Maintain proper records of disciplinary actions.
Ensure HR actions are fair, consistent, professional, and properly documented.
9. Employee Grievance Handling
Receive and document employee complaints and grievances.
Listen to employee concerns professionally and confidentially.
Discuss issues with concerned employees/managers.
Coordinate resolution of workplace issues.
Maintain proper grievance records.
Escalate serious or unresolved matters to HR management/management.
10. Employee Engagement
Plan and coordinate employee engagement activities.
Communicate internal HR updates and important announcements.
Support employee welfare initiatives.
Recognize and appreciate good performance.
Help maintain a positive and professional workplace culture.
11. Exit & Full & Final Settlement
Receive employee resignations and acknowledge the same.
Coordinate notice-period formalities.
Conduct exit discussions/interviews.
Collect exit feedback.
Coordinate clearance from concerned departments.
Prepare and coordinate Full & Final Settlement.
Ensure company assets, documents, and access are properly closed/returned.
Maintain complete employee exit records.
12. HR MIS & Reporting
Prepare daily HR status reports.
Prepare weekly HR reports for management.
Prepare monthly HR MIS reports.
Track recruitment status, joining, attrition, attendance, leave, payroll, probation, performance, training, and employee grievances.
Maintain accurate HR trackers and provide timely reports to management.

Candidate Profile
Education: Bachelor's degree in HR, Business Administration, Management, or a related field.
Experience: 1–3 years of experience in HR operations/recruitment preferred.
