Role: Sales Officer
Role Definition
The Individual will manage the entire sales cycle from addressing enquiries to order fulfillment, ensuring high customer satisfaction. This role focuses on managing client relationships, understanding their needs, and ensuring a smooth transition from initial inquiry to post-purchase service. The executive will work closely with various departments, including logistics, finance, and operations, to manage the purchase order process efficiently.

Tasks & Activities
Task
Pre-Purchase Order Process:
1. Enquiry Management
a. Acknowledgment of Enquiries., Enquiries. printing, Stock check, Price workout, previous price checking etc.
b. Entering enquiries into google spreadsheet
2. Quotations & Negotiations
a. Preparing detailed quotations-pricing, delivery terms, and payment schedules, ensuring accuracy and alignment with client needs. For in-stock product quotation to be issue within 10 min to 1 hour and for timeline products on the same day.
b. Coordinating with internal teams to clarify product specifications and availability.
c. Taking updates and follow ups with Purchase dept. for pending (timeline) enquiries
d. Follow with clients for the PO
2. Post-Purchase Order Process:
Purchase Order Management:
a. Receive and review purchase orders to ensure all details (pricing, terms, quantities) are accurate.
b. Confirm the purchase order with the client and communicate the expected delivery schedule.
Order Fulfilment:
a. Coordinate with Dispatch, QA, and inventory teams to ensure timely delivery of products.
b. Monitor order status and proactively communicate any delays or issues to the customer.
3. Information:
a. Provide post-sales support, addressing any client concerns regarding products & deliveries.
b. Resolve market complaints, replacements, or refunds, coordinating with relevant departments.
4. Payment Coordination:
a. Collaborate with finance teams to ensure invoices are issued correctly and payments are received on time.
b. Address any billing discrepancies and assist clients with payment-related inquiries.
c. Follow with clients pending payments
5. Reporting:
a. Daily data updating in google spread sheet i.e. Enquiry, Quotations, Pending Enquiry, PO, Dispatch and Payment updates
Internal Team Coordination
a. Conducting Status meeting with QA and Purchase
b. Conducting Go-green meeting with HR & Finance
Measurement Metrics
Experience: 2-5 Years
