Client Overview
Our client is a growing remodeling company specializing in kitchen and bathroom renovations for high-rise residential and commercial properties throughout New Jersey. They manage maintenance operations and scaling administrative functions across multiple business lines including property management for existing rentals.
Hours: 9AM-5PM EST
Compensation Range: USD $10/hour (expected 40 hours per week)
Type: Contractor (no additional benefits)
Position Overview
This is a full-time, multi-functional operations role supporting both our property management and construction divisions. You will be responsible for maintenance coordination, project estimating analysis, lead management, and general administrative support. This role requires someone who can wear multiple hats, prioritize competing tasks, and work with minimal supervision while learning our systems and processes.
Property Management - 15% of your time
Maintain and track open maintenance items
Coordinate and follow up with our maintenance supervisor
Handle routine tenant communication via email/text regarding maintenance, scheduling and access
Coordinate vendors as needed
Maintain property records and documentation
Assist with owner/HOA/property-management correspondence and reporting
Construction Administration / Paperwork - 55% of your time
Maintain organized project files and folders
Organize project photos, contracts, proposals and correspondence
Request and track COIs, W-9s and subcontractor/vendor documentation
Assist with permit paperwork
Assist with condo/HOA alteration packages and required documentation
Prepare documents and correspondence using our existing templates
Maintain project administrative task and follow-up lists
Job Cost Reconciliation - 30% of your time
Track and log material purchases and costs
Reconcile completed jobs against actual material costs and labor/man-hours
Compare actual performance against our original estimates and estimating templates
Identify and flag discrepancies for my review
Help maintain historical job-cost data so we can improve our estimating going forward
This person will not be handling incoming calls, new leads, lead qualification, or scheduling estimates.
Strong written English is important, along with organization, spreadsheet skills, attention to detail, follow-through, and the ability to work independently once trained. Construction and/or property-management experience would definitely be a plus.
From a software standpoint, they should be comfortable with Google Workspace/Drive, Gmail, Google Sheets/Excel, and learning our existing systems and workflows.
Onboarding & Support
The owner will invest time upfront to onboard, create documentation, and build SOPs together. The first week will involve shadowing, learning the systems, and establishing workflows. Expected to work independently within 2–3 weeks.
