JOB DESCRIPTION – HR EXECUTIVE
Position: HR Executive
Department: Human Resources

Location: Bhubaneswar, Odisha
Reporting To: HR Manager / Administration Head / Management
Job Summary
We are looking for a proactive and organized HR Executive to manage day-to-day HR operations across the employee lifecycle. The role will be responsible for recruitment coordination, onboarding, attendance and leave management, employee documentation, payroll inputs, HRMS/MIS maintenance, employee engagement, performance coordination, and exit formalities.
The ideal candidate should possess strong communication and documentation skills, maintain confidentiality, and be capable of coordinating effectively with employees, reporting managers, candidates, and management.
Key Roles & Responsibilities
1. Recruitment & Talent Acquisition
Coordinate end-to-end recruitment activities for assigned positions.
Prepare and publish job descriptions across relevant recruitment platforms.
Source and screen candidates based on defined job requirements.
Conduct preliminary HR screening and coordinate technical/managerial interview rounds.
Schedule interviews and maintain regular communication with candidates.
Coordinate assignments, skill tests, and interview evaluations.
Maintain candidate trackers and recruitment MIS.
Conduct salary discussions as per approved compensation ranges.
Coordinate offer approvals and issue LOI/Offer Letters to selected candidates.
Follow up with selected candidates until joining.
Maintain a pipeline of potential candidates for upcoming requirements.
2. Joining & Onboarding
Coordinate pre-joining documentation and joining formalities.
Verify employee documents and maintain personnel records.
Prepare and issue Offer Letters, Appointment Letters, confirmation letters and other employment documents.
Coordinate employee ID, official email, HRMS access, system/assets and other joining requirements with concerned teams.
Conduct HR induction and explain company policies, working hours, attendance, leave procedures and reporting structure.
Maintain employee master data and ensure timely HRMS updates.
Coordinate Background Verification (BGV), wherever applicable.
3. Attendance & Leave Management
Monitor daily attendance, late arrivals, absences, WFH and employee movement.
Maintain monthly attendance and leave trackers.
Coordinate leave applications with respective Reporting Managers.
Maintain records of approved/rejected/pending leaves.
Follow up on unauthorized absence or attendance irregularities.
Prepare finalized monthly attendance inputs for payroll processing.
Maintain accurate leave balances as per company policy.
4. Payroll & Compensation Support
Prepare and verify monthly payroll inputs.
Coordinate attendance, leave deductions, LOP, incentives, reimbursements and other payroll variables.
Coordinate with Accounts/Finance for salary processing.
Verify employee salary details before final payroll submission.
Assist in preparation and distribution of salary slips.
Maintain salary revision, increment and compensation records.
Support PF, ESI, Professional Tax and other applicable payroll/compliance processes as required.
5. Employee Documentation & HR Operations
Maintain complete employee personnel files in physical/digital format.
Draft HR letters, notices, circulars and employee communications.
Prepare confirmation, promotion, designation change, salary revision, warning, show-cause, transfer, relieving and experience letters as required.
Maintain updated employee database and organizational records.
Ensure HR documents are properly signed, acknowledged and archived.
Maintain confidentiality of employee, compensation and management information.
6. Employee Relations & Engagement
Act as a point of contact for routine employee HR queries.
Coordinate employee grievances with appropriate management representatives.
Support employee engagement and workplace initiatives.
Coordinate birthdays, festivals, celebrations and internal events.
Facilitate effective communication between employees, reporting managers and management.
Support initiatives aimed at improving employee experience and retention.
7. Performance & Productivity Coordination
Coordinate periodic performance review processes.
Follow up with Reporting Managers for employee performance feedback.
Maintain performance/productivity trackers where applicable.
Document performance discussions, improvement requirements and management decisions.
Assist with Performance Improvement Plans (PIP) and related documentation when required.
8. HR Policies & Compliance
Support implementation of HR policies, SOPs and employee handbook provisions.
Communicate approved HR policies and amendments to employees.
Ensure employees provide required policy acknowledgements.
Maintain documentation required for HR audits and compliance.
Assist management with implementation of applicable employment and statutory requirements.
Maintain confidentiality and proper access control over HR records.
9. Separation & Full-and-Final Coordination
Receive and process employee resignations as per company procedure.
Calculate/track notice periods and proposed last working dates.
Coordinate handover requirements with Reporting Managers.
Ensure company assets, documents, credentials and responsibilities are properly handed over.
Conduct or coordinate exit interviews.
Obtain departmental and asset clearances.
Coordinate Full & Final Settlement inputs with Accounts.
Issue relieving and experience documents after completion of required clearances.

Educational Qualification
Preferred: MBA/PGDM in Human Resources or equivalent postgraduate qualification.
Candidates with a relevant graduate degree and strong practical HR experience may also be considered.
Experience
Preferred: 1–3 years of relevant experience in HR Operations, Recruitment, Employee Management or a similar HR role.
Experience working in an IT/Technology/Corporate environment will be an added advantage.
