We are seeking a highly experienced Company Controller to serve as the senior accounting lead for an established Hawaii-based multi-trade contractor supporting commercial and institutional facilities.
The company provides roofing, HVAC/R, commercial doors, electrical, plumbing, and general maintenance services.
This is not a routine bookkeeping or data-entry position. The Controller will independently oversee the company’s complete accounting function, including financial reporting, job costing, WIP, month-end close, cash flow, billing oversight, and internal controls.
🔹 Financial Accounting and Close
• Own the full accounting cycle, from transaction coding through month-end and year-end close
• Maintain the General Ledger, Chart of Accounts, and accounting policies
• Lead monthly, quarterly, and annual closing activities
• Prepare accurate trial balances and financial statements
• Reconcile cash, Accounts Receivable, Accounts Payable, prepaid expenses, accrued liabilities, WIP, retainage, fixed assets, and other balance-sheet accounts
• Prepare and review journal entries and investigate unusual variances
• Coordinate with external CPAs, tax advisers, auditors, and other accounting professionals
• Maintain accounting practices consistent with US GAAP or other company-adopted standards
🔹 Job Costing, WIP and Project Financials
• Maintain accurate job-cost records for labor, materials, equipment, subcontractors, overhead, and other direct costs
• Prepare and review work-in-progress schedules
• Identify underbilling, overbilling, cost overruns, missing costs, billing gaps, and potential margin risks
• Ensure job costs and WIP accurately reflect the operational status of each work order or project
• Align completed work, approved quotes, NTEs, customer invoices, and applicable revenue-recognition practices
• Provide actual-versus-estimate and gross-margin analyses for active and completed jobs
• Communicate financial risks and discrepancies to leadership promptly
🔹 AR, Billing, AP and Vendor Oversight
• Oversee customer invoicing to ensure completed work is billed promptly and accurately
• Monitor AR aging and coordinate collection follow-ups
• Reconcile customer deposits, progress billings, retainage, credit memos, and related accounts
• Oversee AP intake, coding, approval routing, and payment runs
• Ensure vendor and subcontractor invoices are assigned to the correct jobs or work orders
• Maintain complete vendor records and applicable W-9 or tax documentation
• Prevent duplicate payments and resolve invoice discrepancies and vendor disputes
🔹 Cash, Banking and Payroll Coordination
• Maintain daily and weekly visibility of cash balances, upcoming obligations, and expected receipts
• Reconcile bank and credit-card accounts and clear outstanding items promptly
• Prepare or support cash-flow forecasts for company leadership
• Help improve working capital through effective billing, collections, and payment timing
• Coordinate with internal or outsourced payroll providers
• Ensure labor costs are allocated to the correct jobs, departments, and General Ledger accounts
• Review payroll liabilities, employer taxes, benefits accruals, labor burden, and overhead allocations
🔹 Reporting, Controls and Systems
• Prepare management reports, including the income statement, balance sheet, cash position, AR/AP aging, job profitability, and WIP
• Translate financial results into clear and practical recommendations for leadership
• Design, document, and strengthen internal controls
• Maintain complete, accurate, and audit-ready records
• Reconcile accounting systems, work-order or CMMS exports, and spreadsheet trackers
• Identify opportunities to improve processes, systems, and source-data quality
• Document accounting procedures to ensure continuity and consistency
• Protect confidential company, financial, customer, vendor, and employee information
🔹 Cross-Functional Partnership
• Partner closely with company leadership, operations, project management, and administration
• Help operational teams understand job profitability, margins, cash flow, billing issues, and cost-control opportunities
• Support system implementations, historical account cleanup, new entities or locations, and special projects
• Guide or train team members responsible for entering bills, invoices, payroll information, or job costs
✅ Required Qualifications
• Bachelor’s degree in Accounting, Finance, or a related field
• Proven experience as a Controller, Assistant Controller, or Senior Accountant in construction, facilities services, field services, or another project-based business
• Strong full-cycle accounting, General Ledger, and financial-reporting experience
• Demonstrated experience independently leading month-end and year-end close
• Strong job-costing and WIP experience within a project-based or work-order environment
• Working knowledge of US GAAP
• Strong understanding of AR, AP, cash flow, internal controls, and audit readiness
• Advanced Microsoft Excel skills
• Experience with QuickBooks Online/Desktop, Xero, NetSuite, or similar accounting systems
• Ability to learn work-order, CMMS, or facilities-management platforms
• Excellent written and spoken English for communication with US-based stakeholders
• Strong analytical skills and the ability to explain financial information clearly
• High level of integrity, ownership, accuracy, and professional judgment
• Ability to work independently and meet strict reporting and closing deadlines
⭐ Preferred Experience
• Philippine-licensed CPA, US CPA, or equivalent professional accounting qualification
• Previous experience supporting a US-based company
• Accounting experience in construction, facilities services, field services, or another project-based industry
• Direct experience with job costing, WIP, retainage, progress billing, labor allocation, and revenue recognition
• Experience working with multiple trades, departments, entities, or locations
• Experience partnering directly with company owners, executives, operations leaders, or project managers
• Experience supervising, reviewing, or training accounting and administrative team members
