The Role
We are seeking an organized and detail-oriented Warehouse Assistant / Specialist to support daily warehouse operations, inventory movements, receiving, storage, picking, packing, dispatch, documentation, and warehouse coordination.
The ideal candidate will maintain accurate inventory records, coordinate warehouse activities, ensure orders are processed correctly and on time, support warehouse safety and compliance, and identify opportunities to improve operational efficiency.
Key Responsibilities
Support daily warehouse receiving, storage, picking, packing, staging, and dispatch activities.
Coordinate warehouse activities with Inventory, Distribution, Transportation, Procurement, Sales, Customer Service, and Operations teams.
Receive incoming products, materials, equipment, and supplies according to approved procedures.
Verify incoming quantities against purchase orders, delivery documents, packing lists, and system records.
Inspect received goods for visible damage, shortages, overages, incorrect items, or other discrepancies.
Record receiving transactions accurately in the warehouse or ERP system.
Assign appropriate storage locations based on product characteristics, inventory requirements, space availability, and operational priorities.
Ensure products are stored safely, securely, and in accordance with applicable handling requirements.
Maintain accurate warehouse location records, bin information, stock labels, and identification systems.
Support inventory put-away activities and ensure goods are moved to designated locations promptly.
Pick products and materials accurately according to approved orders, picking lists, replenishment requirements, or transfer requests.
Verify item codes, descriptions, quantities, batches, lots, serial numbers, and other identification details before picking.
Pack orders according to product requirements, customer specifications, and applicable handling standards.
Prepare shipments for dispatch and ensure orders are properly labeled and documented.
Coordinate with Transportation and Distribution teams to ensure orders are ready for scheduled collection or delivery.
Maintain accurate records of warehouse movements, transfers, receipts, issues, returns, and adjustments.
Support internal stock transfers between warehouse locations, branches, distribution centers, or operational sites.
Process warehouse returns and ensure returned products are properly inspected, identified, documented, and stored.
Support quarantine, damaged-stock, rejected-stock, expired-stock, and non-conforming-material processes where applicable.
Conduct cycle counts and physical inventory counts according to approved schedules.
Investigate inventory discrepancies and coordinate corrective actions.
Reconcile physical inventory against system records and report significant variances.
Maintain inventory accuracy across warehouse locations and storage areas.
Support inventory classification, stock rotation, replenishment, and minimum/maximum stock controls.
Apply appropriate FIFO, FEFO, or other inventory-rotation principles where required.
Monitor stock conditions and identify damaged, expired, obsolete, slow-moving, or excess inventory.
Escalate inventory risks and warehouse discrepancies to the appropriate teams.
Maintain accurate product traceability records, including batch, lot, serial number, expiry date, or other identification information where applicable.
Handle fragile, high-value, temperature-sensitive, hazardous, or controlled products according to approved procedures where applicable.
Ensure warehouse activities comply with company policies, safety requirements, and applicable regulatory standards.
Follow warehouse health, safety, fire-prevention, manual-handling, equipment, and emergency procedures.
Support safe operation of forklifts, pallet jacks, conveyors, scanners, lifting equipment, and other warehouse equipment where authorized.
Conduct or support routine warehouse equipment and workplace inspections.
Report unsafe conditions, equipment defects, spills, damage, and other warehouse hazards promptly.
Maintain clean, organized, and clearly identified storage, picking, staging, and dispatch areas.
Support warehouse housekeeping and workplace organization initiatives.
Maintain accurate warehouse documentation, including receiving records, picking lists, transfer documents, dispatch records, and inventory reports.
Ensure warehouse transactions are completed accurately and promptly in approved systems.
Use barcode scanners, RFID systems, warehouse terminals, handheld devices, and other warehouse technologies effectively.
Support WMS, ERP, inventory-management, and warehouse-automation systems.
Monitor system transactions and investigate discrepancies between physical movements and system records.
Coordinate with warehouse supervisors and team members to prioritize urgent, high-value, or time-sensitive orders.
Support peak-season preparation and increased warehouse activity during promotions, launches, seasonal demand, or special projects.
Assist with warehouse layout improvements, slotting, storage optimization, and material-flow initiatives.
Identify opportunities to reduce unnecessary movement, handling, picking time, and storage costs.
Support continuous-improvement initiatives using Lean, 5S, standard work, and other operational improvement practices.
Participate in root-cause analysis of inventory errors, picking errors, receiving discrepancies, damaged products, and warehouse incidents.
Implement assigned corrective actions and monitor completion.
Support warehouse audits, inventory audits, customer audits, and compliance inspections.
Maintain appropriate records for internal and external audit requirements.
Coordinate with suppliers regarding receiving discrepancies, damaged goods, shortages, or incorrect deliveries.
Support claims and documentation for damaged or missing goods where applicable.
Assist with warehouse labor planning, task allocation, shift handovers, and operational coverage.
Maintain clear communication during shift changes and ensure outstanding issues are properly handed over.
Prepare daily, weekly, and monthly warehouse activity reports.
Track warehouse productivity, inventory accuracy, order accuracy, receiving performance, and dispatch performance.
Maintain confidentiality of inventory, customer, supplier, product, and operational information.
Support training and onboarding of warehouse employees on procedures, systems, safety, and quality requirements.
Perform other warehouse, inventory, and logistics responsibilities as required.

Ideal Candidate
The successful candidate should have strong experience in warehouse operations, inventory control, logistics, distribution, order fulfillment, materials handling, or supply chain operations, preferably within retail, e-commerce, manufacturing, wholesale, 3PL, distribution, or other high-volume environments.
The candidate should demonstrate:
Strong understanding of warehouse receiving, storage, picking, packing, inventory, and dispatch processes.
Experience handling physical inventory and maintaining accurate warehouse records.
