Get Me Insurance Inc. is a growing Canadian insurance brokerage seeking an experienced Business Operations Manager to manage day-to-day execution, team accountability, workflows, KPIs, and follow-up across our organization.
This is not a general Virtual Assistant position. We are looking for someone with genuine operations-management experience who is comfortable following up with employees, identifying problems, enforcing accountability, and ensuring that work gets completed without the President & CEO having to personally chase every task.
The Role
You will work directly with the President & CEO and coordinate with our Canadian and Philippines-based team across sales, insurance service and renewals, administration, life insurance support, marketing/SEO, lead generation, and video/content production.
Your primary responsibility is simple: create visibility, accountability and consistent execution across the business.
Key Responsibilities
• Manage daily and weekly team accountability and follow-up
• Ensure every important task has a clear owner, deadline and status
• Track outstanding, overdue and recurring work
• Follow up directly with employees instead of waiting for the CEO to intervene
• Establish and monitor departmental and individual KPIs
• Conduct regular team check-ins and accountability meetings
• Create dashboards and concise management reports for the CEO
• Identify workflow bottlenecks and operational problems before they escalate
• Develop, document and improve SOPs, checklists and workflows
• Coordinate work between sales, service, administration and marketing teams
• Help establish priorities and ensure employees understand what is expected
• Monitor employee follow-through and address recurring performance/accountability issues
• Escalate important issues to the CEO with the problem, facts and recommended action, not simply forward the problem
• Improve communication between our Canada and Philippines teams
• Help implement and maintain project/task-management systems
• Maintain operational calendars, recurring responsibilities and deadlines
• Assist management with hiring, onboarding and performance-management processes as the company grows
What We Are Looking For
We strongly prefer someone who has previously worked as an Operations Manager, Business Operations Manager, General Manager, COO, Operations Lead, or Senior Project/Operations Manager.
You should have experience managing people, not just completing tasks yourself. You must be comfortable asking employees why something has not been completed, setting a new deadline, following up again, documenting the issue and escalating when necessary.
We run our operations on Google Workspace and HubSpot CRM daily, so hands-on experience with these (or similar tools like ClickUp, Asana, Monday.com or Notion) is valuable. Experience creating SOPs, KPI dashboards, accountability systems and management reports is particularly important.
Experience in insurance is not required. We can teach you our insurance workflows. Strong operations-management ability is more important.
Working Hours
Full-time: 40 hours per week
The successful candidate must be able to work with significant overlap with Eastern Time (Toronto, Canada) because this is a management position requiring real-time interaction with our Canadian team.
