The ideal candidate will be highly organized, proactive, and professional Executive Assistant to the Director to provide comprehensive administrative and executive support. The role involves managing the Director’s schedule, coordinating meetings and communications, preparing reports and presentations, maintaining confidentiality, and ensuring timely follow-up on important tasks and decisions.
Responsibilities
Manage the Director’s calendar, appointments, meetings, and travel arrangements.
Coordinate internal and external meetings, including scheduling, agendas, minutes, and follow-ups.
Act as the primary point of contact between the Director and internal/external stakeholders.
Draft and prepare emails, letters, reports, presentations, and other business documents.
Maintain and organize confidential records, documents, and correspondence.
Track important tasks, deadlines, commitments, and action points assigned by the Director.
Follow up with relevant departments and team members to ensure timely completion of assigned tasks.
Prepare meeting briefs, presentations, MIS reports, and management summaries as required.
Handle incoming calls, emails, and correspondence professionally.
Attend meetings when required, record minutes, and circulate action points.
Coordinate with senior management, clients, vendors, consultants, and other stakeholders.
Maintain a high level of confidentiality regarding business, financial, employee, and personal information.
Assist in organizing conferences, events, business meetings, and official visits.
Qualifications
Bachelor's degree or equivalent experience
Proficient in Microsoft Office suite
Experience in managing multiple priorities, administrative coordination.
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
Strong written and verbal communication skills
