The Project Coordinator provides day-to-day administrative and coordination support across APAC leadership operations, particularly for APAC Rising Dragon projects. This role will support scheduling, travel arrangements, meeting logistics, expense administration, and general team coordination across multiple countries and time zones.
The ideal candidate is organized, proactive, detail-oriented, and able to manage routine administrative and project tasks with accuracy and professionalism. This person should be comfortable working in a fast-paced regional environment, meeting deadlines and reporting to a Project Management Executive & EA to APAC President who oversees both executive support and broader regional responsibilities.
Key Responsibilities
1. Project coordination support
Provide day-to-day administrative support for Rising Dragon-related activities and any ad-hoc duties assigned by his/her line manager
Coordinate meetings across time zones, including calendar invites, room bookings in Singapore for ALT related onsite meetings, and logistics
Support calendar management for recurring internal meetings and routine scheduling needs
Maintain organized filing systems, trackers, team records, and documentation on SharePoints
Support continuous improvement initiatives by identifying opportunities to enhance project coordination, reporting, and administrative processes.
2. Travel and expense support
Coordinate travel bookings including flights, hotels, ground transportation, and itinerary preparation
Assist with online/offline visa document collation and travel-related paperwork where required
Support expense submissions, invoice tracking, and Concur-related administrative tasks
Help monitor travel-related requests and follow up on pending approvals or submissions
3. Executive support assistance
Support routine administrative tasks linked to Rising Dragon activities
Help with calendar coordination and administrative follow-up for selected stakeholders as required
Support the manager in handling day-to-day executive support tasks efficiently and accurately
Handle ad hoc tasks assigned by the line manager
Diploma or degree in Business Administration, Project Management or related discipline preferred
Preferably 6-8 years of experience in project coordination and administration, team support, executive support.
Proficient in MS Office and calendar management.
Strong communication, organizational and interpersonal skills.
High level of discretion, attention to detail, and follow-through
Result-oriented, good analytical skills, have problem-solving ability
Willing to learn and support in a fast-moving environment to meet deadlines
Proactive with good follow-up discipline
Able to work independently under pressure on routine matters
