About the role

Description supplied by the original job listing.

As our Director of Finance & Human Resources, you will serve as the strategic financial anchor, compliance leader, and human resources engine supporting THOR’s growing team, programs, project portfolio, and day-to-day operations. Working closely with the Executive Director, you are the financial balance to our entrepreneurial growth—ensuring impeccable financial integrity, GAAP compliance, and administrative excellence as we scale to deliver on our mission.
In this role, you lead THOR’s modern, cloud-native financial ecosystem: QuickBooks Online Advanced Accounting, Mercury Plus Banking, Charles Schwab Investing, and Gusto Plus Payroll. You seamlessly bridge high-level strategy (multi-program labor allocation, 30/60/90-day cash flow forecasting, investment monitoring, audit leadership) with hands-on execution (multi-dimensional general ledger management, bi-weekly payroll processing, inter-account transfers, vendor bill pay).
Together with the Executive Director, you will maintain a practical, defensible system of dual financial controls and internal checks that provides our Board of Directors, philanthropic and other partners, and fiscally sponsored programs with complete transparency and trust.
Key Duties & Responsibilities
Full-Cycle Accounting & Multi-Dimensional Ledger Management (QBO)
Master General Ledger Ownership: Maintain a pristine, audit-ready Chart of Accounts in QBO Advanced structured according to GAAP (FASB ASC 958) and IRS Form 990 standards.
Multi-Dimensional Tracking: Accurately code all transactions across 4 core dimensions: Natural
Accounts, Functional Classes (Core Programs, Sponsored Programs, M&G, Fundraising), Locations (Territories), and Projects.
Accounts Payable & Bill Pay: Perform 3-way matching of vendor invoices, equipment rentals, and contractor pay applications; assign coding; and stage payment batches in Mercury Bill Pay for Executive Director authorization.
Accounts Receivable & Invoicing: Issue milestone billing invoices to municipal, state, and land manager clients for fee-for-service trail development and maintenance contracts; track aging and follow up on collections.
Fixed Asset & Fleet Accounting: Maintain schedules for capitalized vehicles, trail machinery, and assets; record monthly note payments and straight-line depreciation under THOR's capitalization threshold.
Treasury Management & Banking Operations
Working Capital & Cash Replenishment: Actively forecast rolling 30–60 day cash flow
requirements to ensure liquidity for payroll, subcontractors, and material deliveries.
Treasury Oversight: Monitor THOR's core capital reserves held in CD ladders and money market sweep accounts; prepare monthly replenishment schedules for ED wire execution.
Bank Reconciliations: Perform monthly reconciliations across all accounts and investment holdings.
Expense & Corporate Card Administration: Audit employee receipts for policy compliance; verify Class/Project tags; reconcile monthly statements for staff cards and Executive Director expenses.
Fiscally Sponsored Programs & Chapter Financial Operations
Sponsored Entity Accounting: Maintain dedicated multi-class accounting and financial tracking for semi-independent sponsored initiatives and regional sub-chapters.
Inter-Account Payroll Reconciliations: Track direct payroll and benefit costs for sponsored personnel; calculate and execute bi-weekly reimbursement transfers from semi-independent sponsored initiatives and regional sub-chapters.
Program Reporting: Generate monthly and quarterly Income vs. Expense (P&L by Class) reports for program leaders and chapter committees to monitor their independent budgets.
Payroll & Human Resources Administration (Gusto)
Full-Cycle Payroll Processing: Process bi-weekly payroll for 15–20 full-time employees and 4-8 apprenticeship and internship program participants.
Multi-Program Wage Allocations: Configure and maintain labor distribution schedules in Gusto/QBO, allocating staff compensation across Core Programs (Trail Development, Maintenance, Education & Advocacy, Events), Sponsored Entities, M&G, and Fundraising.
Benefits Administration: Oversee open enrollment, broker relationships, and ongoing
administration for group health, dental, vision, life, short-term disability, and THOR's 5% 403(b) direct employer contribution.
HR Compliance & Onboarding: Manage digital onboarding/offboarding in Gusto, maintain confidential personnel records, oversee workers' compensation insurance audits, and ensure compliance with federal, Nebraska, and Iowa labor regulations.
Audit, Compliance, Risk Management & Board Governance
Annual Audit & Form 990 Leadership: Serve as the primary operational liaison to external CPA firms for the annual financial audit and IRS Form 990 preparation, ensuring zero audit adjustments.
Board Governance & Reporting: Prepare monthly and quarterly Board financial packages (P&L by Class, Balance Sheet, Budget vs. Actual, Project Burn Rates); support real-time read-only transparency for the Board Treasurer and Finance Committee.
Insurance & Risk Management: Oversee annual renewals and certificates of insurance for master commercial general liability, trail operations, inland marine equipment floater, auto fleet, and D&O policies.
Internal Controls Stewardship: Enforce organizational dual controls and segregation of duties across all purchasing, disbursement, and treasury cycles.
Required Qualifications & Experience
Bachelor’s degree in Accounting, Finance, Business Administration, or closely related field.
Minimum 5–7+ years of progressive accounting and financial management experience, including at least 3+ years in non-profit fund accounting (GAAP / FASB ASC 958).
Demonstrated experience independently managing full-cycle accounting—from day-to-day
transactional entry and payroll to month-end close, financial statement preparation, and annual audit leadership.
Advanced proficiency with QuickBooks Online (QBO Advanced preferred), including multi-class, multi-location, and project-based tracking.
Direct experience managing full-cycle payroll, employee benefit plans, and HR compliance for 15+ benefited employees (Gusto experience strongly preferred).
Hands-on experience with modern cloud financial tools (e.g., Mercury, Bill Pay, digital expense management, Google Workspace).
Strong analytical acumen paired with authentic, clear, and professional written and verbal communication skills (writing without reliance on generative AI).
Preferred Qualifications & Attributes
Certified Public Accountant (CPA) or Certified Nonprofit Accounting Professional (CNAP).
Experience in construction job costing, heavy civil equipment tracking, or municipal reimbursable contract accounting.
Experience managing accounting for fiscally sponsored entities or chapter-based non-profit organizations.
A professional, approachable, and ethical demeanor grounded in transparency and stewardship.
Self-motivation and accountability paired with collaborative teamwork.
Creative problem-solving skills and strong attention to detail.
A clear ability to manage their own time, balance multiple priorities, and consistently meet deadlines with calm efficiency.
Commitment to continuous improvement, learning, and innovation.
Enthusiasm for outdoor recreation, community health, conservation, and THOR’s regional trail mission.
