Senior Project Manager (Marketing Agency)

Wunderdogs is an independent creative agency with a growing (20+) distributed team across the U.S., Canada, Europe and Latin America. We provide beginning-to-end strategy, design and production services to forward-thinking brands in the technology space, from startups to established companies.
We're looking for a Project Manager to run two kinds of work: ongoing marketing retainers (content, SEO, paid, email, social) and project accounts for brand strategy, design and website builds. Working with our account leads and Marketing Strategist, you'll be the client's operational day-to-day contact and the person who makes sure the right thing ships on the right day at the right quality, every time. A Marketing Strategist sets the direction on retainers; you turn it into a plan that holds.
This role rewards people who notice what everyone else misses: the date that doesn't match, the version that isn't the latest, tickets out of date, the deliverable that's technically done but not actually ready. You're also AI-forward without being AI-dazzled. We use AI across delivery: drafting recaps, summarizing calls, building status reports, checking work. You'll be the review gate. AI drafts, you decide, and nothing reaches a client without a human who has actually read it. You'll report to the Account Director and COO and work alongside our strategy, design, and development teams.
Key Responsibilities
Client management
Serve as the primary day-to-day operational contact for 5-6 retainer clients and 4+ active project accounts at any time
Run the client cadence: kickoffs, weekly or biweekly check-ins, monthly reviews (with the Marketing Strategist leading the marketing content), and project milestones
Manage scope, change requests, retainer hours, and expectations; flag risks before they become surprises
Prepare and send clear written updates, recaps and next steps after every client touchpoint
Report on outcomes, not just activity: did the retainer deliver what the quarterly plan promised, not only whether the hours were spent
Project management
Build and own project plans, timelines, and resourcing in Monday.com for retainers and for brand, design and website projects
Coordinate designers, writers, developers and freelancers across time zones; keep everyone unblocked and on schedule
Track hours against retainer allocations and project budgets weekly; report variances early
Run internal reviews and QA every deliverable for accuracy, completeness and consistency before it reaches the client: links, dates, naming, versions, specs, copy
Maintain clean documentation: briefs, decisions, approvals, asset locations
AI-enabled delivery and systems
Use AI tools daily to draft recaps, summarize calls, prepare status reports and check deliverables, and own the review gate: every AI-assisted output gets a human read and approval before it goes anywhere
Know the failure modes (invented facts, stale data, weak prompts, missing context) and catch them before the client does
Set clear boundaries on what AI touches on each account and what stays fully human, and be transparent with clients about how we use it
Key KPIs
On-time delivery: 95%+ of milestones and deliverables shipped on the committed date
Operational efficiency: deviation from retainer hour allocations and project budgets under 10%
Client Satisfaction (CSAT): average score 4.7+
Client retention: renewal of assigned retainers and repeat project work
Internal quality score: average score 4.7+ from the delivery team on clarity of plans and briefs
Zero-defect delivery: client-reported errors in shipped work trending to zero
Plan-to-outcome: every retainer reported against its quarterly plan, not just its hours
Requirements
5+ years in account or project management at a marketing, digital or creative agency, including at least 2 years running marketing retainers (content, paid, email or social) alongside project work
Experience managing website builds (Webflow or WordPress) and brand or design projects from brief through launch
Exceptional attention to detail: you catch inconsistencies others miss, and you check before you send
Hands-on daily use of AI tools (Claude, ChatGPT, Monday.com AI, meeting summarizers or equivalent) to speed up planning, documentation and reporting, and the habit of adapting as the tools change
Proven ability to critically evaluate AI output for accuracy, completeness and fit before anything is sent; you treat a draft as a draft
Strong writer: clear, concise client communication in English, with fluent spoken English for leading calls
Experience with Monday.com or a comparable work management tool; experience building automations is a plus
Comfortable working in a fully remote team via Slack, video calls, and Monday.com
Based in Brazil, with availability for at least 4 hours of daily overlap with U.S. Pacific business hours

Familiarity with Figma and Webflow
PMP, Scrum or similar certification (useful, not required)
