Registration Specialist – The Mandt System
The Company
The Mandt System is a well-established (since 1975) Learning & Development Company specializing in the delivery of training and consultation. Our primary goal is to partner with organizations in the Health, Social Care, and Education settings to prevent, de-escalate, and manage issues and incidents of workplace violence. We do this using a model of engagement that seeks to equally manage the safety of staff as well as those served. The establishment of healthy workplace relationships is at the core of our approach, as is the philosophy of treating all with dignity and respect.
The Position
Position: Full-Time with 90-day probationary period
Reports to: Director of Operations
Start Date: TBD
Based: This is a remote position based in your home office. All computer equipment and paid internet access are provided.
Primary Role Purpose
We are looking for a successful and enthusiastic individual who will provide excellent customer service and support to customers throughout the United States and internationally.
Key Responsibilities
Registration Management
Process and manage customer registrations and cases across all channels (phone, email, and other), including instructor training programs and virtual events.
Ensure all attendee information is accurate, complete, and consistently updated, including monitoring registration records to prevent duplicate registrations.
Verify participants are registered for the correct program type and event.
Manage event registration counts and enforce attendance limits, including waiting lists, to ensure capacity is not exceeded.
Assist customers with registration changes (transfers, name updates, event changes) and inform accounting of resulting seating, training type, or quantity adjustments.
Answer phone calls regarding registrations and events to assist with related questions or route them to the proper department.
Assist with ordering training materials for events.
Contact attendees when unexpected circumstances impact events, including weather, travel disruptions, venue issues, or scheduling changes.
Reach out to previous customers regarding recertification opportunities and upcoming training needs.
Collaborate with the Logistical Support Coordinator to coordinate Mandt Instructor Academy registrations and provide administrative and operational support for events and ongoing projects as needed.
Qualifications
Strong attention to detail, accuracy, and organizational skills
Excellent written and verbal communication skills, with a customer-focused approach
Ability to manage multiple tasks, projects, and deadlines independently with little supervision
Problem-solving and adaptability
Customer service experience preferred
Proficiency with registration systems, databases, or CRM tools; Salesforce experience strongly preferred.
Computer Skills:
Proficient user of Salesforce or a comparable CRM/database platform.
Comfortable navigating related records, using list views and reports, and maintaining data accuracy.
MS Office and Google Systems Apps
Able to use fundamental business applications on a smartphone and tablet
Business Skills:
Ability to communicate reliably and professionally, both orally and in writing, with all internal and external stakeholders
Ability to build productive business relationships and collaborate effectively as part of a team
Need to be well-presented and businesslike on all occasions
Appreciates fidelity within the company's standards and policies
Education and Experience:
1-2 years of experience in a customer service or registration role, with up to 2 years of CRM experience
Salesforce experience is strongly preferred, particularly experience working with multiple related records and multi-step operational processes.
Related field or equivalent work experience; BS preferred
Additional Requirements:
May be required to work extended hours on occasion
Limited occasional travel for corporate or management meetings and training
Able to pass a background check and drug test
