Company Description
Baker Crewing Solutions, a division of Baker Marine Solutions, provides contract personnel and crewing support for marine and offshore operations. The division manages the full crewing process, from personnel sourcing and qualification through onboarding, mobilization, active-project support, crew changes, and demobilization.
Position Summary
The Crewing Coordinator manages personnel requirements through the full life cycle of an assigned project - from receiving the request and identifying qualified candidates through mobilization, active-project support, crew changes, and demobilization.
The Role
This position owns the overall crewing process and works closely with the Operations Support Coordinator to ensure administrative, onboarding, documentation, payroll, expense, and logistical requirements are completed accurately and on time.
Experience
Minimum of five years of experience in the marine and/or offshore industry, including experience in crewing and/or operations.
Primary Responsibilities
Review and maintain job sheets and applicable trackers daily to stay informed of current and upcoming projects, open positions, personnel assignments, mobilizations, crew changes, and outstanding requirements.
Understand each project's staffing needs, schedule, scope of work, required qualifications, experience, credentials, and other personnel requirements.
Source, evaluate, and recommend qualified personnel based on project requirements, availability, experience, and overall suitability.
Communicate approved assignment details, schedules, pay rates, expectations, and requirements to selected personnel.
Provide complete and accurate information to the Operations Support Coordinator for onboarding, contracts, project documents, record updates, and approved logistics.
Monitor onboarding, credential verification, documentation, travel, and mobilization status, and confirm personnel are ready before mobilization.
Maintain communication with clients and assigned personnel throughout each project and address routine crewing and assignment matters.
Coordinate replacement personnel, additional staffing, crew changes, and demobilizations as project requirements change.
Promptly communicate personnel, schedule, travel, crew-change, and project updates so records and arrangements remain current.
Help ensure timesheets, expenses, receipts, and supporting documentation are received and submitted according to project requirements.
Address routine personnel concerns and promptly escalate significant performance, safety, compliance, payroll, client, or project issues to the Division Manager.
Develop and maintain professional relationships with qualified maritime and offshore personnel to support current and future crewing needs.
Assist the Division Manager and team with additional crewing, administrative, and operational needs as required.
Perform other related duties based on the needs of the division.
Work Schedule and On-Call Requirements
Marine and offshore crewing needs do not always fall within a standard Monday-Friday, 8:00 a.m.-5:00 p.m. schedule. Project needs, personnel issues, travel disruptions, crew changes, and urgent client requests may require availability outside normal business hours.
Participation in the division's on-call rotation is required and may include evenings, weekends, and holidays. While on call, the Crewing Coordinator monitors communications, responds to time-sensitive matters, and coordinates or escalates issues as appropriate.
