Client Relations & Operations Executive

Form Factors Design Studio (FFDS) is looking for a proactive, organised and articulate Client Relations & Operations Executive to join our studio in Thane.
This role will act as the key coordination link between our clients, design team, vendors and co-founders, ensuring that communication, follow-ups, documentation and day-to-day project coordination are managed professionally and systematically.

Client Relations & Operations Executive
📍 Location: Thane, Maharashtra
💼 Employment: Full-Time | Work from Office
💰 Compensation: ₹25,000 – ₹30,000 per month
📅 Experience: 2–4 years preferred
Key Responsibilities
• Act as the primary coordination point for ongoing clients after project onboarding
• Manage routine client communication through calls, WhatsApp and email
• Track client approvals, selections, pending inputs and action items
• Coordinate meetings, site visits and internal project reviews
• Prepare and circulate Minutes of Meeting and follow up on action items
• Maintain project trackers, client records and organised digital documentation
• Coordinate between clients, designers, vendors and site teams
• Send approved invoices and follow up professionally on outstanding payments
• Support client onboarding, project handover and closure documentation
• Manage calendars, schedules and day-to-day studio administration
• Escalate design, commercial, contractual or critical project matters to the co-founders
Educational Background
Required:
Graduate degree from a recognised university.
Candidates from the following backgrounds will be preferred:
• BBA / BMS / Business Management
• B.Com / Commerce
• BA in Communication, English, Psychology or related fields
• Hospitality / Hotel Management
• Office Administration / Operations Management
• Architecture / Interior Design candidates interested primarily in coordination and operations roles
A formal architecture or interior design qualification is not mandatory.
Experience Preferred
Candidates with prior experience in any of the following will have an advantage:
• Architecture or interior design studios
• Construction or project management companies
• Real estate firms
• Client servicing / customer relationship roles
• Hospitality or premium service businesses
• Office / project coordination roles
What We’re Looking For
• Strong spoken and written English
• Comfortable communicating professionally with clients
• Working knowledge of Hindi; Marathi will be an advantage
• Excellent follow-up and organisational skills
• Ability to manage multiple projects and priorities simultaneously
• Good working knowledge of MS Excel, Word, Google Sheets, Google Drive and email
• Strong documentation and record-management habits
• Confidence in handling clients without making unauthorised commitments
• Ability to identify what can be handled independently and what needs escalation
• Professional, composed and solution-oriented approach

This is not a sales role and is not a design decision-making role.
The position is intended for someone who can take ownership of client coordination and studio operations while ensuring that design decisions, commercial negotiations, scope changes and major project commitments remain with the FFDS leadership team.
