Job Summary:
The Accountant reports to the Finance Controller and is responsible for processing and updating financial records in support of FacilityForce's finance operations. This role requires a solid understanding of bookkeeping and accounting principles, organizational skills, and proficiency with accounting software. The Accountant exercises independent judgment and discretion in evaluating financial data, building models to support business decisions, and managing projects from scope through completion. A successful Accountant demonstrates strong accuracy and sound judgment with confidential information, mathematical abilities, and familiarity with data privacy standards.
In carrying out these duties, the role works with accounting and ERP software, MS Excel, accounts payable and receivable systems, vendor portals, NetSuite OpenAir, bank and general-ledger records, intercompany and royalty records, and payment and tax data, and handles confidential financial, banking, and customer information, which informs the security responsibilities.
Duties/Responsibilities:
Accounts Payable — weekly AP processing, setting up new vendors, registering portals, obtaining approvals, intercompany billing, credit checks, resolving payment discrepancies, and 1099 reporting
Accounts Receivable — entering and posting payments, electronically depositing checks, invoice integration, collections, registering customer portals, completing vendor forms, credit memos, invoices, debit memos, refunds, and sales tax reporting
Analyze and interpret financial data to identify trends, risks, and opportunities
Lead cross-functional finance projects from scope through completion, setting timelines, priorities, and approach with minimal direct supervision
AP accruals
Customer project setup, invoicing and ongoing maintenance in NetSuite OpenAir
Prepare, enter, and post monthly journal entries
Amortization and depreciation of expenses
Enter bank transactions
Intercompany cash tracking
Royalty reporting
Reconciliation of balance sheet and bank accounts, resolving any discrepancies Prepare and review tax filings
Expense integration
Assist and advise the Finance Controller in tax reporting and planning, audit requests, month/quarter/year-end close, budgeting, and compliance risks
Obtain certificates of insurance (COI) and other required contract documents as requested
Handle banking and customer data under company security policy
Complete company required security training
All ad hoc projects as they arise
Baseline Security Responsibilities:
Comply with FacilityForce’s Information Security Policy, Acceptable Use Policy, and all related security policies and procedures.
Complete assigned security awareness training upon hire and at least annually thereafter.
Protect authentication credentials, never share passwords or access tokens, and use multi-factor authentication where required.
Access and handle company, customer, and third-party data only as required for the role and in accordance with its data classification.
Promptly report suspected security incidents, policy violations, and lost or stolen devices to Manager.
Follow secure workstation practices, including screen locking, device encryption, and clean-desk handling of sensitive information.
Role-Specific Security Responsibilities:
Protect confidential financial, banking, payroll-adjacent, and customer and vendor information, including bank account and payment data, and handle it in accordance with its data classification and data privacy standards
Maintain accuracy and integrity of financial records and adhere to appropriate approvals and segregation of duties in AP, AR and accounting processes
Access customer, vendor, and bank portals securely, safeguarding credentials and using only approved systems
Follow secure practices for payments, deposits, and banking transactions, including verifying vendor and payment changes to help prevent fraud
Handle 1099, tax, royalty, and intercompany information in compliance with applicable data privacy and financial-reporting requirements
Required Skills/Abilities:
Demonstrated experience in MS Excel and accounting software
Demonstrated ability to work independently, exercise sound judgment, and manage competing priorities with minimal oversight
Strong knowledge of bookkeeping

Ability to manage time and multiple projects effectively
Understanding of data privacy standards
Familiarity with IFRS and GAAP.
Month-end close requires availability during the first six days of each month, including holidays that fall within that window.
Education and Experience:
Bachelor's degree in Accounting, Finance, or a related field
3+ years of Accounting or Finance experience
Preferred Qualifications:
Experience in a SaaS or Professional Services environment
Experience with NetSuite OpenAir
