Role Description The Administrative Assistant is a full-time remote role responsible for providing day-to-day administrative support to Hawkeye Home Inspections’ inspectors and leadership team. This role includes managing incoming calls and emails, scheduling and confirming inspection appointments, maintaining calendars, and coordinating communication between clients, Realtors, and inspectors. The Administrative Assistant will handle clerical tasks such as data entry, document preparation, filing, and organizing digital records, as well as assisting with report distribution and follow-up communication. Additional responsibilities may include updating client information in systems, monitoring deadlines, supporting basic invoicing or billing tasks, and contributing to process improvements that enhance efficiency and client service.
Qualifications
Strong Administrative Assistance and Executive Administrative Assistance skills, including calendar management and coordination of daily office workflows.
Professional Phone Etiquette and Communication skills for interacting with clients, Realtors, inspectors, and other stakeholders in a clear and courteous manner.
Solid Clerical Skills, including data entry, document management, and maintaining accurate digital records and files.
Proficiency with office productivity software (e.g., email, calendars, word processing, spreadsheets) and ability to learn new scheduling or CRM systems.
Excellent organizational skills, attention to detail, and ability to manage multiple tasks and priorities in a remote work environment.
Dependable time management and self-motivation, with the ability to work independently while collaborating effectively with a dispersed team.
Prior experience in administrative support, customer service, or a related role; experience in real estate, home inspections, or construction industries is a plus.
High school diploma or equivalent required; additional coursework or certification in office administration or business is beneficial.
