As Assistant to two Global Leadership Team (GLT) Members, you will provide administrative and strategic support, serving as the primary point of contact for administrative and organizational matters for multiple functions. The role requires balancing competing executive priorities, anticipating business needs, and ensuring seamless coordination across executive offices. Given the global scope and seniority of the supported executives, flexibility in working hours is required to accommodate shifting priorities, time zones, and urgent requests.
Completes a broad variety of advanced administrative tasks including: managing an extremely active calendar of appointments; approving expense reports on behalf of the GLT members; composing and preparing confidential correspondence; arranging complex global travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Provides administrative support related to organizing the GLT members’ professional and, where applicable, personal commitments.
Plans, coordinates, and ensures the various schedules are followed and respected. Acts in a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the calendars and offices.
Balances and prioritizes the needs of two GLT members, ensuring effective coordination of calendars, stakeholder requests, meeting preparation, travel, correspondence, and follow-up actions while maintaining discretion, sound judgment, and full awareness of business priorities.
Coordinates multiple internal and external meetings with various stakeholders.
Researches, prioritizes, and follows up on incoming issues and concerns addressed, including those of a sensitive or confidential nature. Determines the appropriate course of action, referral, or response.
Works as part of a broader executive assistant team, collaborating closely with peers, sharing information proactively, and deputizing where required to ensure seamless, continuous, and high-quality support across the executive office.
Identifies opportunities to improve administrative processes, digital ways of working, tracking systems, and coordination routines to increase effectiveness across the executive office.
Bachelor’s degree or equivalent professional education.
Minimum of 5–8 years of experience supporting Executive Leadership Team members in a complex, global multinational company.
Demonstrated ability to proactively manage complex, sensitive issues and to work independently on projects.
Proven ability to perform at a high level under pressure, adapting quickly to competing demands while maintaining outstanding quality of output and a realistic balance among multiple priorities.
Very strong interpersonal skills and the ability to build trust-based relationships with stakeholders at all levels, including senior executives and external partners.
Outstanding judgment, discretion, and diplomatic skills in handling confidential information.
Business-fluent written and verbal communication skills in English (additional languages are a plus), with strong organizational skills and meticulous attention to detail.
Proactive, solution-oriented approach to problem-solving with strong decision-making capabilities.
High flexibility to accommodate a demanding and fluid schedule.
High proficiency in modern digital workplace tools, enterprise productivity suites (such as Microsoft Office, Teams, and SharePoint), collaboration platforms, and various AI productivity tools.
Understanding of the agricultural business and global industry drivers is highly preferred.
