Position Overview
We are looking for a proactive, detail-oriented Finance Manager to oversee the day-to-day financial health of our business & operations. You will bridge the gap between high-level bookkeeping and strategic operations, ensuring our project budgets are precise, our vendors, staff, and others are paid on time, and our cash flow is predictable.
This is a part-time, contract position (approx. 10–20 hours per month) designed for a professional who thrives on building efficient systems and providing clear financial visibility to leadership.
Key Responsibilities
Event Accounting & Analysis
Budget Reconciliation: Own the "Post-Event Wrap." Reconcile actual expenses against budget projections for every project to identify variances and final profitability.
Project Tracking: Utilize QuickBooks Online "Projects" or "Classes" to ensure every dollar of labor and materials is attributed to the correct event.
Margin Oversight: Alert event managers or leads to "scope creep" or budget overages in real-time.
Accounts Payable & Operations
Staff/Contractor & Vendor Payouts: Oversee timely and accurate payments to onsite staff and 1099 contractors, and ensure full payment of event vendors
Process Automation: Along with organizational leadership, develop & maintain our "fin-tech" stack (e.g., QBO, Bill.com, or Expensify) to reduce manual data entry and human error.
Cashflow & Reporting
Cash Flow Forecasting: Maintain a rolling 6–12 week cash flow model to ensure the business is prepared for the "lumpy" nature of event deposits and payouts.
Financial Reporting: Deliver a monthly "Executive Summary" that translates the P&L and Balance Sheet into actionable insights (e.g., "Our labor costs are up 12%, but our net margin stayed flat due to better vendor negotiation").
Month-End Close: Oversee or perform the month-end close process to ensure the general ledger is pristine.
Qualifications
Experience: 5+ years in a finance role, ideally within the events, creative agency, or production industry.
Technical Mastery: Expert-level proficiency in QuickBooks Online. Experience with project-based accounting is mandatory.
Forward-Thinking: You don't just tell us what we spent; you tell us what we are going to spend.
Communication: Ability to explain complex financial data to non-finance creative professionals.
Independence: You are a self-starter who doesn't need to be chased for reports or updates.
Structure & Compensation
Status: 1099 Independent Contractor.
Time Commitment: Estimated 3–5 hours per week (with slight increases during peak event seasons).
Compensation: Monthly retainer or hourly rate based on experience and system-building capability.
Location: Remote, with occasional virtual syncs with the leadership team.
