Wealth Management Associate (Appointment Setter)Role
Turn the interest our marketing creates into first appointments that hold. You are on the phone all day with people who have already shown interest in the firm, and your job is to reach them quickly, have a real conversation, qualify them, and book a first meeting with one of our advisors.
The people you will call
Nobody on your list is cold. Every contact has come to us through the firm's marketing: advertising, educational content and events, requests for information, and prior inquiries in our database. They have raised a hand about retirement planning and wealth management. The gap between that moment of interest and a held appointment with an advisor is the job.
What you bring
Qualified first appointments booked and held every week, at the firm's weekly standard
New leads contacted the same day they arrive, then worked through a disciplined follow up sequence until they book or close out
Appointments confirmed, reminded, and rescheduled so advisor calendars hold
Every call, text, and email logged in Salesforce, so the record can be trusted
Your weekly activity and appointment numbers reported to your manager on time, without being asked
Advisors walking into first appointments with prospects who know why they are there
What you will do
Make outbound calls, texts, and emails all day to marketing generated leads and database contacts
Have a real conversation: understand what prompted the person's interest, ask good questions, and explain plainly why a one-to-one meeting with an advisor is the right next step
Qualify prospects against the firm's criteria before booking
Book first appointments directly on advisor calendars, then confirm, remind, and reschedule as needed
Follow up persistently and professionally with people who have not responded yet
Keep Salesforce accurate: contact details, call outcomes, next steps, and appointment status
Use the firm's approved scripts, templates, and talking points, and stay inside compliance and confidentiality standards
Track your own numbers daily (contacts, conversations, appointments set, appointments held) and report them weekly
Give advisors and the marketing team specific feedback on lead quality and what prospects are saying
Work in the firm's virtual office, camera on, during Pacific business hours
You should be familiar with
Salesforce or a comparable CRM, used daily to log every contact and manage a pipeline
A business phone system (we use RingCentral) and text messaging from inside a CRM
Microsoft 365: Outlook, Teams, and Excel
Zoom and virtual office platforms
Call recording and coaching tools
Learning new platforms quickly; our systems change as we grow
What success looks like
Held qualified first appointments per week, against the firm's standard
Show rate on the appointments you book
Speed to lead: time from a lead arriving to your first contact attempt
Contacts and conversations per day
Salesforce accuracy and completeness
Weekly report delivered on time
Requirements
Three or more years in sales, appointment setting, client service, banking, insurance, financial services, or a comparable professional environment, including at least one year in a role where outbound calling was the core of your day
Numbers you can show from a prior role: contacts per day, appointments set, show rate, or quota attainment
A strong phone presence: you sound like a professional, you listen, and you ask for the appointment
Highly organized, with follow up habits that do not depend on memory
Comfortable making outbound calls all day, including to people who did not pick up the first three times
Experience in financial services, insurance, or banking strongly preferred
You live in the United States and are authorized to work here for any employer
Available to work Pacific business hours during the training period; schedule changes after training are not promised and are based on firm needs
A quiet, private home workspace with high-speed internet (verified before your start date), and camera on during the workday
What we offer
$45,000 to $55,000 base salary, plus commission tied to appointments held and clients won. Where you land in the base range depends on your experience and demonstrated results.
