Accounts Assistant – Job Profile
The Accounts Assistant should have good knowledge and practical experience in the following areas:
1. Parent Handling & Communication
Handle parents and visitors politely and professionally.
Have good verbal and written communication skills.
Respond to parents' queries regarding fees, receipts, payments, refunds, and other account-related matters.
Coordinate with parents and concerned departments for resolving account-related issues.
Maintain patience and professionalism while handling complaints or queries.
2. Basic Accounting Knowledge
Basic knowledge of accounting principles, debit and credit entries, ledgers, and vouchers.
Preparation and checking of accounting entries.
Bank and cash reconciliation.
Maintaining proper records and supporting documents.
Basic knowledge of Excel and accounting software.
3. Fee Handling
Handle student fee-related transactions and maintain proper records.
Verify fee payments received through online and other modes.
Issue/check fee receipts and maintain fee-related documents.
Handle fee adjustments, refunds, excess payments, and other fee-related matters as per school procedures.
Coordinate with parents regarding outstanding or incorrect fee payments.
4. Payment Processing
Prepare payment-related documents and vouchers.
Verify bills, invoices, approvals, and supporting documents before processing payments.
Coordinate with vendors and concerned departments regarding payments.
Maintain proper payment records and filing.
Assist in bank-related transactions and reconciliation.
5. Cash Handling
Handle cash receipts and payments responsibly.
Maintain daily cash records and cash book.
Verify cash balances and supporting documents.
Deposit collections into the bank as per school procedure.
Ensure proper documentation and security of cash.
6. Other Accounting Work
Maintain proper filing of bills, receipts, vouchers, and other financial documents.
Assist in audit requirements and provide supporting documents.
Maintain confidentiality of financial and student information.
Assist the Accounts Officer in day-to-day accounting and administrative activities.
Perform other accounts-related duties assigned by the Accounts Officer.
Essential Skills
Good communication and interpersonal skills.
Basic accounting knowledge.
Good knowledge of MS Excel.
Knowledge of accounting software/TCS iON or similar school ERP will be an advantage.
Accuracy and attention to detail.
Good numerical ability.
Ability to handle parents and staff professionally.
Honesty, responsibility, and confidentiality.
