HEDIS Administrative Coordinators to support a high-volume medical record retrieval and quality improvement project. This is an entry-level administrative position supporting the HEDIS team and medical record procurement process.
The Administrative Coordinator will assist with bringing medical records in-house from the procurement team, processing and organizing charts within Novalon, maintaining accurate tracking information, and conducting follow-up outreach to provider offices that have not responded to medical record requests.
This position is ideal for someone who is highly organized, comfortable working with large amounts of data and documentation, proficient in Microsoft Excel and Microsoft Office, and confident communicating with provider offices by phone and email.
No clinical license needed
Medical Record Processing
Receive and process medical records obtained through the procurement/medical record retrieval team.
Review incoming charts for completeness and ensure records are properly organized and labeled.
Prepare medical records for entry into the designated HEDIS workflow.
Upload, index, rename, and organize medical records within Novalon according to established procedures.
Ensure charts are associated with the appropriate provider, member, and request information.
Identify missing, incomplete, or incorrectly processed records and escalate issues to the appropriate team member.
Maintain accurate electronic files and documentation throughout the retrieval process.
Provider Outreach & Follow-Up
Conduct outbound calls to provider offices that have not responded to medical record requests.
Follow up on outstanding chart requests and communicate request status to provider office staff.
Confirm receipt of previous requests and determine the status of outstanding medical records.
Obtain updated contact information or identify the appropriate medical records/contact person when necessary.
Document all outreach attempts, responses, and follow-up actions accurately.
Communicate professionally and courteously with physician practices, medical records departments, and other provider representatives.
Escalate non-responsive or difficult-to-reach provider sites according to established procedures.
Data Entry & Tracking
Maintain accurate tracking spreadsheets for medical record requests and retrieval status.
Enter and update information in Excel, Novalon, and other internal systems.
Track outstanding requests, completed charts, provider responses, and follow-up activity.
Perform data validation and identify discrepancies between tracking systems.
Maintain organized records and ensure information is entered accurately and in a timely manner.
Assist with daily and weekly reporting related to chart retrieval activity.
Administrative Support
Provide general administrative support to the HEDIS and Quality teams.
Assist with high-volume document management and data processing.
Monitor assigned work queues and prioritize tasks based on project deadlines.
Participate in team meetings and training sessions.
Follow established workflows, quality standards, and productivity expectations.
Support additional HEDIS and medical record projects as assigned.

Required Qualifications
High school diploma or equivalent.
1+ year of administrative, customer service, data entry, healthcare administration, or office experience preferred.
Strong proficiency with Microsoft Excel.
Proficiency with Microsoft Office, including:

Strong data entry and computer skills.
Excellent attention to detail.
Strong organizational and time-management skills.
Ability to manage multiple tasks and priorities simultaneously.
Strong written and verbal communication skills.
Comfortable making frequent outbound phone calls to provider offices.
Ability to work independently while also collaborating effectively with a team.
Ability to maintain confidentiality when handling sensitive medical information.
