Vice President of Investment Operations

I. Position Overview
The Vice President of Investment Operations is responsible for overseeing operational processes, trade support, asset and cash management, investment data, valuation, and operational controls related to the company's investment business. The role ensures that investment portfolios operate efficiently, accurately, and in compliance with internal policies and regulatory requirements.
This position requires close collaboration with investment teams, finance, risk management, compliance, legal, and technology departments, as well as external service providers. The incumbent will continuously optimize investment operational processes, control systems, and data quality to provide stable operational support for investment decisions and asset management activities.
II. Key Responsibilities
1. Investment Operations Management
Oversee and manage the day-to-day operations of the investment function.
Establish and continuously optimize investment operations policies, processes, and operating standards.
Ensure the accurate execution of investment trades, settlements, reconciliations, asset record-keeping, and related operational activities.
Oversee operational support for multiple investment products, accounts, and portfolios.
2. Trade and Settlement Management
Oversee processes for securities trade confirmation, settlement, delivery, and post-trade processing.
Coordinate with custodians, brokers, fund managers, and other external service providers.
Promptly identify and resolve trade exceptions, settlement failures, and operational discrepancies.
Establish mechanisms for trade lifecycle management and the escalation of exceptions.
3. Portfolio and Asset Operations
Oversee portfolio data, cash positions, asset holdings, and transaction records.
Support portfolio valuation, fund transfers, and asset reconciliation activities.
Ensure consistency between investment data and internal systems, custodial records, and external reports.
Support portfolio rebalancing and related operational processes.
4. Valuation and Financial Operations
Oversee investment asset valuation and related data processes.
Coordinate with the finance team regarding investment income, expenses, cash flows, and asset records.
Support the preparation of monthly, quarterly, and annual investment operations reports.
Investigate and escalate significant valuation discrepancies and financial operational anomalies.
5. Risk and Internal Control
Establish risk control and oversight mechanisms for investment operations.
Identify risks related to trading, settlement, data, liquidity, and processes.
Periodically assess the effectiveness of key operational controls and processes.
Facilitate internal audits, external audits, and compliance reviews. 6. Data and Technology Management
Drive continuous improvement of investment operations systems, data platforms, and automation tools.
Enhance the accuracy, completeness, and timeliness of investment data.
Collaborate with IT, data, and product teams to advance operational digitalization.
Drive the reduction of manual tasks and the automation of key processes.
7. External Service Provider Management
Manage operational relationships with custodian banks, fund managers, administrators, brokers, and other third-party institutions.
Oversee service quality, SLAs, issue resolution, and operational performance.
Participate in service provider evaluation, selection, and contract management.
Ensure external service providers comply with the company's operational and control requirements.
8. Team Leadership and Cross-functional Collaboration
Responsible for the organization, staffing, and performance management of the investment operations team.
Develop professional talent in investment operations, trade support, data management, and asset servicing.
Maintain close collaboration with the CIO, CFO, COO, and risk management and compliance teams.
Report investment operational risks, project progress, and key operational metrics to senior management.
III. Qualifications
Bachelor’s degree or higher in Finance, Accounting, Economics, Business Management, or a related field.
Typically possesses 20+ years of experience in investment operations, asset management, fund operations, or financial services.
Typically possesses 8+ years of experience in team leadership or senior operational management.
Familiarity with the trade lifecycle, settlement, custody, valuation, reconciliation, and investment data management.
Experience in managing complex investment operational processes and cross-functional projects.
Strong capabilities in data analysis, problem-solving, and process optimization.
Ability to communicate professionally with investment managers, senior management, and external financial institutions.
