Overall Responsibility:
The IT Project Manager is a senior professional that leads the end-to-end delivery of complex, high-impact technology initiatives from business case and planning through implementation, transition, and closeout. The role is accountable for scope, schedule, budget, quality, risk, vendor performance, and stakeholder alignment across infrastructure, cybersecurity, enterprise applications, software development, and digital transformation projects.
Serving as a senior liaison among business leaders, technical teams, the PMO, Finance, Procurement, and third-party partners, this position translates organizational priorities into executable roadmaps, challenges assumptions, resolves delivery barriers, and provides clear recommendations to support timely decisions. The Senior IT Project Manager also strengthens project governance, financial discipline, vendor accountability, and continuous improvement across the IT portfolio.
Duties:
IT Project Strategy, Planning, and Execution
Lead multiple concurrent IT projects through initiation, planning, execution, monitoring, implementation, transition, and closure.
Develop and maintain integrated project plans covering scope, deliverables, milestones, dependencies, resources, budget, procurement, change management, testing, deployment, and operational readiness.
Partners with technical and business leaders to define measurable outcomes, success criteria, governance requirements, and realistic delivery approaches.
Apply appropriate delivery methodologies, including Agile, Scrum, Waterfall, or hybrid approaches, based on project needs and organizational standards.
Anticipate cross-project dependencies and resource constraints, escalate significant issues, and recommend options with clear business, technical, financial, and timeline implications.
Drive project closure, lessons learned, benefits tracking, documentation, and transition to operational owners.
Vendor, Contract, and Procurement Management
Lead vendor engagement across the project lifecycle, including requirements definition, sourcing support, proposal evaluation, onboarding, delivery governance, performance reviews, issue resolution, and closeout.
Partner with Procurement, Legal, Finance, Information Security, and technical subject matter experts to support RFPs, statements of work, contracts, change orders, service-level agreements, and acceptance criteria.
Evaluate vendor proposals for technical fit, implementation approach, capacity, risk, total cost, and alignment with project objectives.
Establish vendor governance routines and scorecards; monitor milestones, deliverables, quality, invoices, service levels, risks, and corrective action plans.
Hold vendors accountable for contractual commitments and negotiate practical resolutions to scope, schedule, quality, resource, and commercial issues.
Maintain complete vendor documentation and promptly escalate material performance, compliance, security, or financial concerns.
Budget and Financial Management
Build and manage detailed project budgets, including capital and operating expenses, internal and external resources, software, hardware, implementation services, travel, contingency, and recurring costs.
Develop cost estimates and financial forecasts and maintain accurate actual-versus-budget, committed-cost, and estimate-at-completion reporting.
Validate vendor invoices and project charges against contracts, purchase orders, milestones, deliverables, and approved change requests.
Identify cost risks, variances, and savings opportunities early; recommend corrective actions and communicate financial tradeoffs to stakeholders.
Partner with Finance and Procurement to support budget planning, purchase requests, accruals, reconciliations, and audit-ready documentation.
Ensure no financial commitment or scope change proceeds without appropriate analysis, documentation, and approval.
Leadership and Stakeholder Management
Lead cross-functional project teams through influence, clear accountability, structured decision-making, and timely follow-through.
Facilitate steering committees, executive updates, working sessions, vendor reviews, and project retrospectives.
Tailor communication for executives, business partners, technical teams, vendors, and end users, presenting concise status, financials, risks, decisions, and recommendations.
Coach project team members and less-experienced project professionals in planning, governance, risk management, vendor oversight, and delivery practices.
Build trusted relationships and manage competing priorities while maintaining appropriate challenge, transparency, and professional judgment.
Risk, Quality, Governance, and Change Control
Own project governance artifacts, including charters, schedules, RAID logs, decision logs, financial trackers, change requests, status reports, acceptance records, and closeout documentation.
Identify, assess, and actively manage delivery, technical, cybersecurity, data privacy, compliance, operational, vendor, and financial risks.
Run disciplined scope and change control, assessing impact on cost, schedule, resources, quality, benefits, and contractual obligations before approval.
Coordinate quality assurance, testing, readiness, cutover, contingency, and post-implementation stabilization activities.
Ensure project deliverables meet agreed requirements, quality standards, security expectations, and documented acceptance criteria.
Education and Experience
Bachelor’s degree in computer science, Information Technology, Engineering, Business Administration, Project Management, or a related field.
6-8 years of progressively responsible project management experience, primarily leading IT projects of increasing complexity and business impact.
Demonstrated senior-level experience managing third-party technology vendors, including selection support, statements of work, contracts, service levels, performance governance, issue escalation, and commercial change control.
Demonstrated experience developing, managing, forecasting, and reporting project budgets, including actuals, commitments, variances, and estimate at completion.
Proven delivery experience in one or more of the following areas: IT infrastructure, cybersecurity, enterprise applications, cloud and platform implementations, software development, systems integration, or digital transformation.
Experience leading cross-functional and geographically dispersed teams and communicating with senior leaders.
Bilingual / English and Spanish proficiency are required.
Experience in an international or nonprofit organization is preferred.
Certifications and Technical Knowledge
PMP certification is required.
Agile, Scrum, SAFe, ITIL, or relevant vendor/platform certification is preferred.
Strong knowledge of project governance, portfolio management, procurement, vendor management, financial controls, risk management, and change management.
Proficiency with project and collaboration tools such as Microsoft Project, Monday.com, Jira, Microsoft 365, and Teams; experience with financial or procurement systems is preferred.
