Job Overview
Our client is seeking an organized, detail-driven Occupational Health & Safety Compliance Coordinator (ISNetworld, Complyworks) to manage occupational health and safety documentation, technician certification tracking, and compliance portal registries across Western Canadian operations. Reporting jointly to the Service Manager and Canadian Quality Inspection Manager, you will maintain the company's Safety Certifications Matrix, audit daily Pre-Site Inspections (PSIs) and Job Hazard Analyses (JHAs), and manage contractor compliance platforms such as ISNetworld and Complyworks. In this pivotal support role, you will ensure field technicians maintain active safety credentials and uphold audit-ready safety documentation.
Client Overview
Our client is an established Canadian industrial services and construction firm headquartered in Sunnyside, Manitoba, with operational hubs across Western Canada (including Alberta and Saskatchewan). Specializing in industrial construction, mechanical services, and site quality inspections, they operate under strict health, safety, and environmental compliance frameworks. To maintain health and safety records, support Certificate of Recognition (COR) standards, and track workforce compliance across provincial registries, they are onboarding a remote Safety Assistant.
Schedule
Monday - Friday, 8:00 AM - 4:30 PM CT, with 30-minute unpaid break (40 hours per week)
Responsibilities
Safety Certification Tracking & Compliance Management: Maintain and update the Safety Certifications Matrix to ensure technician tickets, safety orientations, and training certifications remain current. Audit daily, weekly, and monthly safety records, including Pre-Site Inspections (PSIs), inspection forms, and Job Hazard Analyses (JHAs). Manage compliance portals (ISNetworld, Complyworks) by uploading updated safety programs, policies, and worker training records. Coordinate provincial Workers' Compensation Board (WCB) accounts across jurisdictions and generate Letters of Good Standing for client site submissions.
Field Service Support & Safety Administration: Schedule technician safety training, organize bi-weekly toolbox talks, and audit worker certifications to support Certificate of Recognition (COR) standards. Enroll workforce members in required safety courses, verify completion records, and issue customer-facing compliance verification packages upon request. Compile and generate monthly safety hours reports, incident tracking metrics, and administrative documentation for leadership review. Serve as an administrative point of contact for routine internal and external health and safety inquiries.
Requirements
2+ years of administrative experience supporting corporate or industrial health and safety departments.
Hands-on experience navigating ISNetworld, Complyworks, and provincial WCB account management.
Proven understanding of Canadian health and safety standards, including COR requirements, Job Hazard Analyses (JHAs), and Pre-Site Inspections (PSIs).
High precision in tracking certification expiry dates, auditing field inspection forms, and compiling monthly safety reports.
