Job Description
Role Summary
The role is responsible for providing centralized sales administration, tender coordination, employee administration, reporting, travel management, marketing support, and stakeholder coordination for the business. The incumbent will ensure seamless execution of operational activities, timely documentation, compliance with company processes, and effective coordination with internal and external stakeholders.
Roles & Responsibilities
• Manage end-to-end coordination and administration of tenders from Head Office, including documentation, approvals, submissions, and tracking.
• Coordinate with Procurement, Finance, Legal, Commercial, Marketing, and other stakeholders to ensure timely tender execution.
• Maintain and share tender status trackers with the leadership team and proactively follow up for closure.
• Escalate delays and bottlenecks to the appropriate stakeholders for timely resolution.
• Coordinate travel arrangements, accommodation, and logistics for team members as per business requirements.
• Process and track team expense reimbursements, TA/DA claims, and related documentation.
• Maintain travel and expense records and coordinate with Finance and HR for resolution of pending cases.
• Coordinate Full & Final Settlement activities and employee administration processes.
• Maintain employee-related trackers and ensure timely completion of administrative activities.
• Support implementation and coordination of travel portal processes for field employees.
• Coordinate procurement and allocation of laptops, iPads, CUG cards, and visiting cards.
• Track requests, approvals, deliveries, and closures of employee asset requirements.
• Prepare, maintain, and circulate sales reports, MIS reports, and management dashboards as required.
• Consolidate business data, identify discrepancies, and ensure data accuracy.
• Act as the administrator and single point of contact for CRM tool management, including Phyzii maintenance, enhancements, and user support.
• Coordinate documentation and approval requirements for CME programs and customer engagement activities.
• Ensure all supporting documents are complete and comply with approved processes.
• Coordinate with HR, Finance, Procurement, IT, Commercial, Legal, Logistics, and other functions to ensure timely closure of operational requirements.
• Maintain action trackers and monitor completion of assigned tasks.
• Ensure adherence to organizational policies, SOPs, approval matrices, and confidentiality standards.
• Coordinate approved doctor travel, accommodation, transportation, and related logistics for customer engagement activities.
• Collect travel requirements from field teams and liaise with relevant stakeholders for seamless execution.
• Support field teams by coordinating with Marketing to ensure timely availability of marketing and promotional materials.
Requirements
• Strong coordination and stakeholder management skills.
• Good knowledge of administrative processes, documentation, and reporting.
• Proficiency in MS Excel, PowerPoint, and CRM systems.
• Ability to manage multiple tasks and follow up proactively for timely closure.
• Strong communication, organizational, and problem-solving skills.
• Attention to detail and accuracy in maintaining records and reports.
Education
• Graduate in any discipline.
• MBA or Postgraduate qualification will be an added advantage.
Experience
• 3-6 years of experience in Sales Administration, Business Coordination, Commercial Operations, MIS, or a similar support role.
• Experience in CRM management, reporting, tender coordination, and stakeholder management preferred.
