Office Manager
The Office Manager provides comprehensive administrative, organizational, and communication support to managers and teams, ensuring daily business operations are executed accurately, efficiently, and professionally.
The role acts as an organizational anchor point, enabling managers and teams to focus on their core responsibilities by ensuring that information, planning, documentation, and communication are effectively coordinated and consistently managed. The Office Manager safeguards continuity, reliability, confidentiality, and structure within administrative and coordination processes while contributing to a professional image of the organization.
Key Responsibilities
1. Administrative & Documentation Support
Prepare, process, and archive correspondence, reports, and official documentation.
Maintain accurate records, databases, and filing systems.
Draft standard letters, reports, presentations, and internal communications.
Ensure compliance with company administrative procedures, standards, and documentation requirements.
Safeguard confidentiality and integrity of sensitive information.
2. Agenda, Meeting & Planning Support
Manage calendars, appointments, and meeting schedules.
Coordinate meeting logistics, facilities, and participant arrangements.
Prepare agendas, presentations, minutes, and supporting documentation.
Monitor follow-up actions and track completion of decisions and commitments.
Support planning activities and scheduling priorities.
3. Communication & Coordination
Serve as the first point of contact for internal and external stakeholders.
Receive, filter, prioritize, and distribute communications appropriately.
Coordinate information flow between departments, management, and external parties.
Handle inquiries and requests professionally and efficiently.
Maintain positive working relationships with stakeholders across the organization.
4. Organizational Support
Coordinate business travel arrangements and event logistics.
Support team planning and operational activities.
Assist with onboarding and practical arrangements for new employees.
Facilitate smooth day-to-day office operations.
Provide organizational support to senior management team
5. Continuous Improvement
Identify inefficiencies in administrative and organizational processes.
Propose improvements to workflows, systems, and administrative tools.
Contribute to process standardization and simplification initiatives.
Support the implementation of improved administrative practices and procedures.
Drive sustainable improvements in organizational effectiveness.
Qualifications & Experience
Education
Bachelor’s degree in business administration, Office Administration, Management, or a related field, or an equivalent combination of education and relevant experience
Experience
Several years of experience in secretarial, executive support, office administration, or management support roles.
Experience supporting management teams and senior leaders in a professional business environment.
Experience managing multiple priorities simultaneously while maintaining high standards of quality and confidentiality.
Knowledge
Administrative governance and office management practices.
Business communication and correspondence standards.
Records management and document control principles.
Meeting coordination and event planning.
Organizational processes and managerial support methodologies.
