The Role:
We are seeking a highly organized, proactive, and detail-oriented Project Coordinator to join our team. In this role, you will play a pivotal part in driving the successful execution of our cutting-edge healthcare technology and AI-powered clinical software projects.
You will work closely with cross-functional teams—including Software Engineering, Product Management, Clinical Specialists, and Client Operations—to coordinate project schedules, manage documentation, track deliverables, and facilitate clear communication. The ideal candidate excels in administrative precision, thrives in a fast-paced environment, and is passionate about ensuring seamless project execution from kickoff to "go-live."
Responsibilities:
1. Project Tracking & Coordination
· Schedule Management: Maintain and update comprehensive project plans, timelines, and resource trackers.
· Milestone Tracking: Monitor project progress against established milestones, proactively identifying potential bottlenecks or delays.
· Go-Live Readiness: Coordinate cross-functional activities leading up to critical "go-live" events, ensuring all pre-launch requirements, testing, and operational readiness criteria are met.
2. Communication & Stakeholder Alignment
· Go-Live Communications: Draft, edit, and distribute clear, timely project updates and go-live reports to internal cross-functional teams and external stakeholders.
· Liaison Support: Serve as a central point of contact for project queries, ensuring seamless information flow between technical developers, clinical teams, and client-facing staff.
3. Administrative Support & Documentation
· Meeting Administration: Schedule project meetings, prepare agendas, and distribute pre-read materials.
· Minutes & Action Items: Attend project meetings, document comprehensive and highly accurate meeting minutes, extract key decisions, and clearly define action items.
· Task Follow-up: Track outstanding action items and follow up systematically with owners to ensure timely resolution and task completion.
· Document Control: Organize and maintain project repositories, ensuring all templates, agreements, manuals, and reports are up to date and easily accessible.
Qualifications & Experience
· Experience: 2+ years of experience in project coordination, project support, or administrative management, preferably within the healthcare, IT, software development, or biotechnology sectors.
· Education: Bachelor’s degree in business administration, Healthcare Administration, Information Technology, or a related field (or equivalent professional experience).
· Technical Skills:
· Proficiency with project management tools (e.g., Jira, Confluence, Asana, Trello,).
· Exceptional skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Requirements:
· Exceptional Communication: Strong written and verbal communication skills, with a proven ability to synthesize complex discussions into concise, actionable summaries.
· Detail-Oriented: A relentless focus on accuracy, particularly in tracking deadlines, milestones, and documentation.
· Organization & Prioritization: Outstanding time-management skills with the ability to manage multiple overlapping tasks and projects simultaneously.
· Collaborative Spirit: A team player who can build strong working relationships with diverse stakeholders across technical, clinical, and corporate functions.
Preferred Qualifications
· Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) credential (or active pursuit thereof).
· Experience working in an Agile/Scrum software development environment.
· Familiarity with healthcare compliance, medical imaging, or clinical workflows.

Ability to exercise a high degree of initiative, judgment, and decision-making to achieve project objectives.
Capable of working effectively both independently and collaboratively withing cross-functional teams.
Ability to manage multiple projects simultaneously, prioritizing tasks and ensuring timely and efficient completion.
Must be timely and efficient to achieve accurate completion of projects/initiatives.
Ability to learn and understand the product portfolio and required actions for successful implementations.
Ability to travel to support customer implementations.
