As a Logistics Specialist you will provide dedicated logistics support across our CDMO network and float across existing external manufacturing (EM) teams as a flexible resource for general coordination and documentation tasks (such as formatting scorecards and slide decks, capturing meeting minutes, and tracking action items and deliverables) in addition to coordinating meeting scheduling, travel, and documentation flow. This role is designed to free up EM team bandwidth currently spent on coordination, formatting, and administrative execution, allowing teams to focus on strategic CDMO oversight, technical risk management, and program delivery.
Key Responsibilities:
Meeting & Scheduling Support
Support scheduling and logistics for recurring CDMO meetings (joint technical meetings), including calendar coordination across multiple companies and time zones.
Support document routing/version control for meeting materials, decks, and governance packages.
Capture and distribute meeting minutes for ad hoc EM/CDMO meetings.
Reporting & Documentation Formatting
Format and maintain CDMO/program scorecards and dashboards for EM teams upon request.
Build and format slide decks and presentation materials for team and governance meetings.
Contract & Budget Administration
Support EM leads in tracking Statement of Work (SOW) progress and milestone status across CDMO engagements.
Monitor purchase order (PO) status – issuance, consumption, and remaining balance – and flag discrepancies to EM leads.
Onboarding & Flexible Team Support
Assist with onboarding logistics for new CDMO engagements (kickoff meeting coordination, distribution list setup, SharePoint/Teams site management).
Flex across existing EM teams as priorities shift, picking up ad hoc formatting and coordination requests.
Basic Minimum Qualifications:
Bachelor’s degree in science related field with 1-2 years of experience in project coordination, program management support, or operations within a pharma/biotech, CDMO, or related regulated industry.
Strong communication and organizational skills; comfortable managing multiple concurrent meeting cadences across external partners.
Experience supporting cross-functional or cross-company teams.
Excellent written communication for agenda and meeting minutes preparation.
Attention to detail, self-motivated, and ability to work independently and anticipate coordination needs proactively.
Agility to pivot quickly with changing organizational structures and priorities.
Proficiency with Microsoft 365 (Outlook, Teams, SharePoint) and/or Smartsheet.
Authorization to work in the United States indefinitely without restriction or sponsorship.
Preferred Qualifications:
Direct CDMO or manufacturing exposure / experience is preferred.
