A Day in the LifeThis position will be a key member of Medtronic’s Global Operations Quality (GO&SC) business based out of our Mounds View, MN facility. This role provides executive administrative support to our Global Quality Operations President and Leadership Team, helping ensure proactive coordination of calendars, meetings, communications, travel, and operational priorities. The position serves as a trusted partner to leadership, supporting confidential business activities, facilitating follow-through on key action items, and helping maintain strong execution across the team.
This role will work closely with internal stakeholders to facilitate leadership meetings, manage documentation and reporting needs, coordinate special events, support local facility needs, and partner with the leadership team on special projects as needed.

It will be critical for the selected talent to be on-site with the Vice President at the Mounds View, MN facility. Travel may be required 3 to 4 times per year, approximately 10 to 12 days annually
Responsibilities may include the following and other duties may be assigned:
Proactively manage complex calendars, meeting coordination, and scheduling priorities
Coordinate leadership meetings, business reviews, team meetings, large organizational meetings across global teams, and cross-functional discussions, including agendas, materials, notes, room logistics, visitor needs, and follow-up
Track action items, decisions, deadlines, and priorities to support leadership accountability and execution
Draft, edit, and route correspondence, meeting communications, and internal updates as needed
Coordinate domestic and complex international travel, expenses, and related logistics
Support confidential and sensitive business matters with discretion and sound judgment
Partner with leadership team and administrative colleagues including Suite C level to support consistent execution and communication flow
Assist with special projects, team events, local facility needs, and other leadership support as assigned
Partner with key departments for Leadership Team support, HR, Communications, IT & Media Team
Monitor project, program, and system status to ensure alignment with established objectives, timelines, and deliverables.
Track budgets, schedules, and key performance indicators, escalating risks and issues as needed.
Support the development, implementation, and administration of program and system procedures, guidelines, and processes.
Gather, compile, analyze, and maintain data for reports, presentations, and operational reviews.
Provide technical support for business programs and systems, including troubleshooting and user assistance. Develop and maintain program documentation, training materials, and user resources.

Must Have: Minimum Requirements

High School Diploma or GED and 10+ years of relevant experience OR Associate's Degree and 8+ years of relevant experience OR Bachelor's Degree and 6+ years of relevant experience.
Nice to Have:
Experience managing complex calendars, meetings, travel, expenses, and confidential information
Strong organizational, technical, communication, and influencing skills, both written and verbal, with the ability to work confidently across all levels of the organization and with external business contacts
Expert working knowledge of Microsoft Office, including Teams, PowerPoint, Word, Excel, and Outlook, with the ability to create meeting materials and follow up to ensure content is received on time
Proven experience supporting projects and managing multiple priorities in a dynamic environment, while handling interruptions professionally
Experience working with confidential and trusted information
Strong drive for results, responsiveness, self-initiative, and the ability to quickly learn and handle a wide range of projects, tasks, and issues in new and effective ways
Experience supporting projects, programs, business operations, or enterprise systems.
Experience preparing reports, analyzing data, and maintaining program documentation.
Experience tracking project timelines, budgets, and operational metrics.
Experience using business systems and Microsoft Office applications.
Experience supporting large-scale business programs or cross-functional initiatives.
Experience developing or delivering system and process training.
Experience with data extraction, data management, and reporting tools.
Experience creating and maintaining standard operating procedures and process documentation.
Advanced proficiency with Microsoft Excel and reporting tools.
For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.
