Workplace & Facilities Coordinator
Santiago, Chile
Role Overview:
Create a workplace where employees, visitors, and customers feel welcomed, supported, and confident that the Santiago office is safe, organized, and ready for business. As a highly visible, on-site partner, you will own the day-to-day workplace experience and coordinate the facilities, hospitality, vendor, security, technology, and sustainability activities that keep the office running effectively.
Reporting to the Facilities Manager in the United States, you will serve as a trusted local point of contact for employees, site leadership, building management, vendors, and cross-functional partners. You will have the autonomy to identify routine workplace needs, resolve issues within established guidelines, and escalate matters requiring broader expertise or approval.
Your work will directly influence employee experience, operational continuity, meeting and event quality, workplace safety, and the experience of customers and visitors. You will partner across Facilities, HR, Security, IT, AV, EHS, and local leadership to coordinate services and maintain a professional workplace that reflects empathy, collaboration, and shared accountability.
This role provides exposure to regional workplace operations and cross-functional initiatives across LATAM, with opportunities to expand your capabilities in facilities management, corporate hospitality, sustainability, workplace technology, physical security, and EHS coordination. The position is based on-site five days per week in the Santiago office.
Key Responsibilities:
Lead daily front desk and workplace operations, providing a welcoming, professional experience for employees, visitors, and customers while ensuring inquiries and routine needs are resolved promptly
Partner with site leadership and key stakeholders to coordinate building services, occupancy needs, reception, guest services, facilities requests, and other activities that support a reliable workplace experience
Coordinate outsourced and in-house facilities services, building management relationships, vendor activities, quotes, maintenance requests, and contracted work to maintain service quality and operational continuity
Deliver hospitality and event support by coordinating office communications, employee engagement activities, catering, food and beverage services, meeting logistics, room readiness, audio-visual requirements, lighting, acoustics, and workplace presentation
Manage office inventory and service requirements, including supplies, café and pantry operations, food service contracts, event needs, and standard minimum stock levels
Drive consistent workplace readiness by proactively identifying maintenance, cleanliness, equipment, service, and operational needs, resolving routine issues and escalating higher-risk or complex matters to the appropriate partners
Coordinate sustainable workplace practices, including recycling, composting, sustainable procurement initiatives, and the tracking of energy, water, and waste consumption data for corporate records
Maintain facilities processes, procedures, records, service requests, and ticketing workflows, supporting periodic site inspections and coordinating approved corrective actions with the Facilities Manager and vendors
Partner with LATAM IT and AV teams to support employee hardware logistics, conference room readiness, workplace technology, vendor coordination, and routine troubleshooting
Support local physical security and life-safety processes, including access badges, visitor procedures, secured doors, egress checks, routine drills, training, and the timely escalation of security, equipment, or compliance concerns
Coordinate small office moves, maintenance activities, and defined facilities projects, maintaining clear schedules, documentation, stakeholder communication, and follow-through
Support local Employee Health and Safety activities and applicable Chilean workplace requirements in partnership with Facilities, HR, Security, designated prevention professionals, vendors, and other stakeholders, while escalating matters requiring specialized regulatory expertise
Manage routine financial administration by processing invoices according to established procedures, supporting budget tracking, and maintaining accurate records and documentation
Use Microsoft Excel, Word, PowerPoint, AI tools, and email to maintain trackers, summarize information, document activities, and provide clear operational updates to Facilities and business partners
Required Qualifications:
2 or more years of relevant experience in corporate facilities, workplace operations, office administration, hospitality, business operations, or a related environment
Working knowledge of workplace and facilities operations, including vendor coordination, building services, hospitality, maintenance requests, workplace technology, or related operational processes
Knowledge of applicable Chilean workplace and occupational health and safety requirements, with the judgment to engage appropriate EHS or prevention specialists when required
Experience supporting workplace or facilities projects involving scheduling, vendor coordination, basic budget tracking, reporting, documentation, and follow-up
Proficiency in Microsoft Office, including Excel, Word, and PowerPoint, with the ability to maintain trackers, records, basic budgets, presentations, and project documentation
Strong planning and organizational skills, with demonstrated ability to prioritize routine and moderately varied activities and follow issues through to resolution
Clear and proactive communication skills, with the ability to keep employees, partners, vendors, and management appropriately informed without requiring repeated direction
Strong interpersonal and hospitality skills, with an approachable style and the ability to build trusted relationships with employees, visitors, customers, vendors, and business partners
Demonstrated judgment and personal accountability, with the ability to work independently within established policies, recognize when escalation is appropriate, and follow through on commitments
Ability to work collaboratively across functions and time zones, including with managers and partners located outside Chile
Ability to exercise discretion when handling confidential information and sensitive workplace matters
Ability to work on-site five days per week at the Santiago office
Preferred Qualifications:
Technical or professional degree in Business Administration, Business Management, Industrial Engineering, Occupational Risk Prevention, Construction, or a related field
Experience coordinating contractors, facilities vendors, building management, caterers, or other workplace service providers
Experience supporting corporate hospitality, employee events, customer or visitor experiences, and large meetings
Familiarity with physical security, life-safety, EHS, workplace technology, sustainability, or environmental data tracking in a corporate environment
Experience using facilities ticketing, work-order, desk-booking, visitor-management, or related workplace systems
Experience supporting cross-functional or regional workplace initiatives in a multinational organization
