ABOUT YOU
ARCO is seeking an organized and detail-oriented Fleet Coordinator to support the day-to-day administration of our growing fleet operations. This role will work closely with the Director of Fleet and teams across the organization to coordinate vehicle assignments, maintain accurate fleet records, support key fleet programs, and provide day-to-day assistance to associates.
The ideal candidate is proactive, dependable, and comfortable managing multiple priorities in a fast-paced environment. This is an opportunity to gain broad exposure to fleet operations while developing experience across vehicle management, vendor coordination, and compliance.
A DAY IN THE LIFE
Coordinate vehicle onboarding for new associates, including fleet system setup, vehicle assignments, safety kits, and vehicle deliveries.
Maintain accurate vehicle and associate assignment information within the fleet management system.
Administer fuel card and rental car program enrollment and assist associates with routine questions or issues.
Partner with HR, Accounting, Payroll, office contacts, and onboarding teams to ensure fleet information is accurate and associates are properly set up.
Coordinate vehicle maintenance, company decals, registration renewals, license plates, and recall notices.
Maintain and reconcile records for fleet assets.
Coordinate with dealerships, fleet vendors, rental providers, service centers, and other external partners as needed.
Assist with fleet reporting, audits, invoice review, and data reconciliation.
Research and resolve routine fleet issues and escalate more complex matters to the Director of Fleet.
Support vehicle acquisition, replacement, and disposal activities, including maintaining required documentation.
Support special projects, process improvements, and other Fleet initiatives as needed.
NECESSARY QUALIFICATIONS
Bachelor’s degree preferred or equivalent relevant experience.
1–3 years of experience in fleet, operations, administration, customer service, or a related field preferred.
Strong Microsoft Office skills, particularly Excel and Outlook.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities and follow tasks through completion.
Strong problem-solving skills and willingness to research and resolve issues.
Clear written and verbal communication skills.
