Description of Work
The Lead Accounting Specialist supports the Operations Unit of the NC State Laboratory of Public Health by performing a range of accounting duties that ensure accurate financial processing within the laboratory’s logistical and facility support functions. It manages accounts payable, accounts receivable, deposits, fixed assets, travel documentation, and invoicing in alignment with established financial procedures.
This role works directly with vendors, warehouse and receiving staff, and the Purchasing Agent to reconcile invoices and resolve discrepancies. It also contributes to revenue collection activities, including Medicaid and fee-based receipts, and assists with daily and monthly laboratory billing processes. The position works on-site with limited telework and reports to the Accounting Supervisor.
Key Duties Include:
- Perform accounts receivable functions, including processing payments and maintaining accurate records.
- Complete accounts payable tasks by reviewing, validating, and processing vendor invoices.
- Reconcile invoices against purchase orders while coordinating with vendors, warehouse staff, and the Purchasing Agent.
- Resolve invoice discrepancies through research, communication, and corrective documentation.
- Track and manage fixed assets according to operational and financial requirements.
- Assist in maximizing the collection of receipts, including Medicaid and other laboratory fees.
- Prepare and verify deposit documentation, ensuring accurate revenue account and cost center assignment.
- Support administrative travel processes by preparing and processing authorizations and reimbursements.
- Process and send Newborn Screening invoices and credits monthly.
- Generate and process daily laboratory invoices to support timely and accurate billing.
Knowledge Skills and Abilities/Management Preferences
Salary Grade Range: $41,206.00 - $72,113.00

The Knowledge, Skills, and Abilities (KSAs)/ Management Preferences are not required. Applicants who possess the following skills are preferred:
Intermediate proficiency applying Microsoft Office tools to prepare accurate spreadsheets, draft clear written communications, and manage email workflows in support of financial operations.
Demonstrated experience completing accounts payable and receivable transactions with consistent accuracy, including validating entries and processing time‑sensitive payments.
Proven experience executing multi‑step financial tasks independently while contributing to shared workload coordination within an accounting team.
Documented experience delivering clear, structured financial communication in both verbal and written formats to internal staff, leadership, and external partners.
Applied experience entering, tracking, and reconciling financial data within the North Carolina Financial System (NCFS) or a comparable accounting application.
