Position Summary
We are seeking a dedicated and technically skilled IT Systems Administrator to join our Information Technology team. In this role, you will be the cornerstone of a secure, compliant, and resilient technology environment that directly enables our clinicians and staff to deliver exceptional mental health care. You will manage infrastructure, support end users across multiple clinical sites, maintain HIPAA-compliant systems, and administer the electronic health record (EHR) and telehealth platforms our providers depend on every day.
This is a high-impact role where your work directly supports patient safety, clinician productivity, and organizational compliance — and where you'll partner with a mission-driven team committed to expanding access to mental health services.
Key Responsibilities
HIPAA Compliance & Information Security
Administer and enforce HIPAA Security Rule controls across all systems, including access management, audit logging, and encryption of PHI at rest and in transit.
Conduct regular risk assessments and internal audits; document findings and track remediation to closure.
Maintain Business Associate Agreements (BAAs) and vendor security records in coordination with Compliance leadership.
Respond to security incidents, perform root-cause analysis, and lead post-incident reviews.
Develop and deliver security awareness training for clinical and administrative staff.
Help Desk & End-User Support
Serve as Tier 2/3 escalation point for desktop, mobile, and application support tickets.
Provide hands-on and remote support for clinicians, care coordinators, billing staff, and leadership.
Manage the IT ticketing system (SLA tracking, categorization, reporting) and work to reduce recurring issues through root-cause fixes.
Onboard and offboard employees: provision accounts, configure hardware, and ensure timely access revocation.
Maintain a hardware inventory and manage the device lifecycle (procurement, imaging, refresh, disposal).
Infrastructure & Networking
Manage on-premises and cloud (Azure / M365) infrastructure, including servers, storage, backups, and disaster recovery.
Administer and monitor the enterprise Ubiquiti network: switches and firewalls, VLANs, VPNs, and wireless access points.
Maintain uptime and performance SLAs; proactively monitor systems using tools RMM or similar platforms.
Manage patching cadences for servers, endpoints, and network devices; validate patches in staging before production rollout utilizing Action1 and other toolsets.
Document network topology, runbooks, change records, and disaster recovery procedures in the IT knowledge base.
EHR & Clinical Systems Administration
Provide Administration and Support the organization's EHR platform (e.g., Kipu, ICA Notes, Valant, or similar) including user provisioning, integrations, and upgrades.
Coordinate with the telehealth platform vendor to ensure uptime, device compatibility, and seamless clinician experience.
Serve as the IT liaison for clinical system projects: gather requirements, test changes in UAT, and manage go-live communications.
Troubleshoot EHR performance issues, SSO/SAML integrations, and HL7/FHIR data exchange pipelines.
Maintain audit trails and system access logs that satisfy HIPAA audit-control requirements.
Qualifications
Required
2–4 years of hands-on systems administration experience, preferably in a healthcare or regulated industry.
Demonstrated working knowledge of HIPAA Security Rule requirements and healthcare IT compliance practices.
Experience administering Windows Server Environment (Active Directory, Group Policy, DNS, DHCP).
Proficiency with Microsoft 365 administration (Exchange Online, Intune, SharePoint, Teams).
Proficient in Microsoft 0365 Tenant migration and utilizing Intune for MDM.
Solid networking fundamentals: TCP/IP, VLANs, routing, VPNs, and firewall policy management.
Hands-on experience with enterprise backup/DR solutions (Veeam, Azure Backup, or similar).
Strong help-desk orientation — empathetic communication with non-technical clinical staff is essential.
Preferred
Experience supporting an EHR platform in a behavioral or mental health setting.
Familiarity with telehealth infrastructure and video-conferencing platforms (Zoom for Healthcare, Doxy.me, etc.).
Cloud experience: Azure administration and cost management.
Security certifications: CompTIA Security+, CISSP, CISM, or HCISPP.
Industry certifications: Microsoft MCSA/MCP, CompTIA Network+, or equivalent.
Scripting skills (PowerShell, Python) for automation and reporting.
