Position Overview
As we expand our footprint to Florida, POD Health is seeking an experienced, proactive Office Supervisor to support our new Tampa office. This role will partner closely with HR, IT and Facilities to ensure the office is fully stocked, running smoothly, and well-maintained. The Office Supervisor will also serve as the primary point of contact for day-to-day facility needs, coordinating with building management when issues or support are required.
This position is essential in ensuring the Tampa office provides an organized, welcoming, and operationally sound environment for employees and visitors, supporting POD Health’s continued growth and service delivery.
Key Responsibilities
Facilities Coordination & Office Readiness
Work with Facilities in NY and onsite to ensure the office is stocked and prepared (e.g., supplies, printing needs, kitchen/office essentials).
Monitor inventory levels and coordinate restocking in a timely manner.
Maintain general office order and ensure workspaces are functional and presentable.
Work with IT in NY to ensure the office has all of the computer equipment needed for expansion and incoming new hires.
Ensure all desks are set-up for new hires.
Maintain the Seating Chart to ensure it is always up-to-date.
Liaison with Building Management
Coordinate with building management/landlords for operational needs (e.g., maintenance requests, access issues, equipment problems).
Follow up on requests to ensure timely resolution and appropriate communication internally.
Ensure Tampa Office Operations Run Smoothly
Act as the day-to-day point of contact for office operational needs and escalation when required.
Identify potential issues early (space needs, supply gaps, vendor concerns) and coordinate next steps.
Support onboarding and office readiness needs for new hires (as applicable).
Assist Marketers with scheduling and preparing for Community Events.
Ensure Marketers have all marketing materials needed to attend Community Events.
Liaise with NY Facilities and NY Branding & Marketing Team to ensure the Tampa office has marketing materials on hand.
Responsible for inventory control of marketing materials in the Tampa office.
Vendor & Service Coordination
Coordinate with approved vendors for office-related services and repairs, in partnership with Facilities.
Track and support completion of service requests, ensuring minimal disruption to staff.
Communication & Documentation
Maintain organized records of facility requests, inventory needs, and follow-ups.
Provide updates to Facilities and relevant internal stakeholders as needed.
Qualifications
Proven experience in an office operations, administrative leadership, facilities support, or similar supervisory role.
Strong interpersonal and communication skills; comfortable coordinating with building management and vendors.
Highly organized with strong attention to detail and ability to manage multiple ongoing needs.
Self-directed and able to work independently in a fast-moving environment.
Proficiency with basic office tools (e.g., email, spreadsheets/inventory tracking, ticketing platforms, etc.).
Preferred Qualifications
Experience supporting a medical, healthcare, or corporate office environment.
Familiarity with office/facilities workflows and vendor coordination.
Experience supporting office launches or multi-site operations.
