Position Summary
The Development Operations Associate ensures that systems, data, workflows, and compliance processes support the fundraising and communications strategy set by the Development Director. This role handles the development team’s operational work: government grant reporting, grants management systems, donor and grant data integrity, and campaign and stewardship execution. The Associate implements plans and priorities set by the Director and flags issues as they arise.
Who You Are
You like getting details right and notice when a record looks off. Your background is in nonprofit development or grants administration, and a donor database is where you spend much of your day. You are self-directed and able to take a set of priorities, make a plan, and stick to it. When a funder deadline is at risk, you follow up with whoever needs the nudge, senior staff included. Program and finance colleagues find you easy to work with. LT’s mission matters to you.
Key Responsibilities
Data, Systems & Infrastructure (30%)
Maintain grants calendar, Monday.com donor and grant boards, and Salesforce
Enter and update donor, funder, and prospect records, and run periodic audits to fix duplicate or inconsistent data
Build development reports, dashboards, and board-level giving reports
Keep grant files organized and audit-ready, and maintain a central archive of standard institutional documents
Pull engagement metrics from email, web, and social channels for communications planning and funder reports
Document workflows and system access so others can step in, follow and update SOPs, and improve systems, bringing major changes to the Director for approval
Reports, Deliverables & Compliance (25%)
Track deliverables, deadlines, and reporting requirements across all institutional grants, flag risks early, and set internal deadlines to keep leadership, Finance, and Program staff on schedule
Coordinate government grant reports from start to finish, gathering financials and data from Finance and Programs, interviewing staff, and drafting narratives for Director review
Work with program staff to build systems for tracking deliverables and outputs
Keep SAM.gov registration current and prepare attachments for Grants.gov and other funder portals
Donor Stewardship & Campaigns (25%)
Support gift entry and reconciliation with Finance, and make sure gift receipts and acknowledgments meet IRS requirements, including quid pro quo disclosures and in-kind documentation
Carry out stewardship plans set by the Director, from handwritten notes and donor gifts to reminders on upcoming touchpoints
Keep moves management stages current in Salesforce, and flag stalled or lapsed donors
Pull segmentation lists, run mail merges, and set up emails, appeals, and newsletters for final approval
Coordinate logistics for campaigns, peer-to-peer pages, ambassadors, and print mailings
Grant Research & Funder Engagement (10%)
Research prospects and maintain the institutional pipeline, bringing opportunities to the Director for go/no-go decisions
Prepare materials for grant launch meetings and track funder touchpoints
Attend funder briefings, webinars, and peer exchanges
Cross-Department Coordination (10%)
Serve as Development’s operational point of contact for Communications, Programs, Reentry, and Finance, routing information on grants, data, and deliverables and escalating strategic or relationship issues to the Director
Publish approved blog posts and website updates, and keep public-facing materials accurate and current
Growth Opportunities
This role is the operational backbone of our development team. For someone who masters the core work, there may be opportunities to grow into a more senior role as we build out new areas of fundraising.
Required
What You Bring
At least two years in nonprofit development operations, grants administration, or a similar role
Hands-on experience with Salesforce or a comparable donor CRM, including building reports and dashboards, importing and deduplicating data, and maintaining donor records

Demonstrated ability to own a workload with minimal supervision, keeping details accurate while managing deadlines across teams and building good working relationships with colleagues at every level
Familiarity with grant compliance and reporting
Working knowledge of IRS gift acknowledgment rules, or the ability to learn them quickly
Clear writing, including drafting report narratives from interviews and data
Comfort with Office, Google Workspace, and Slack
