Workplace Coordinator
Job Description Summary
Due to the increasing focus on workplace experience, facilities operations, vendor coordination, and employee support services, it is recommended to replace the Admin Executive position with a Workplace Coordinator role. This change will better align the function with current business requirements by providing dedicated support for workplace operations, facilities management activities, service provider coordination, health and safety compliance, and employee experience initiatives. The revised role will enhance operational efficiency, improve stakeholder satisfaction, and support the organization's long-term workplace strategy while ensuring consistent and effective delivery of workplace service. Workplace Coordinator role provides a broader scope of responsibilities that directly support workplace operations, employee experience, vendor management, and facilities service delivery.
Job Description
• Actively supports facility operations, preventive maintenance programs, health and safety compliance, space management, and service delivery performance.
• Responsible for ensuring a positive, productive, and seamless workplace environment for employees, visitors, and stakeholders.
• The role focuses on improving employee engagement through efficient management of workplace services, meeting spaces, events, and office amenities.
• Consolidating administrative and workplace support responsibilities into a Workplace Coordinator role reduces operational gaps and provides a single point of coordination for workplace-related concerns.
• The Workplace Coordinator can actively monitor workplace safety standards, emergency preparedness programs, regulatory compliance requirements, and business continuity initiatives.
Primary contact for all office admin and facility related issues such as maintenance and cleaning, floor plans, security and building access
Purchase office materials (supplies, furniture, technical equipment etc.)
Maintain inventories and follow up with vendors
Initiate and maintain relationships with various vendors
Support the general administrative work where required
Work with leadership team to support ad-hoc requests where required
Enable the workplace in terms of office management
Monitor workplace activities and office access
Conduct regular monitoring of inventory of supplies, consumables and company assets
Coordinate with building admin
Office procurement and purchasing activities (includes invoicing, managing expenses, handling petty cash fund)
Supervising agency deployed personnel (housekeepers, drivers, liaison)
Enable the workplace in terms of HSSE
Develop, implement, and promote occupational safety & health (OSH) programs
External compliances – company business permits, regulatory, registration of resources
Coordinate with TDS
Coordinate company special events and programs
Submit reports for internal and external safety & health compliances
Provide support to service lines with Liaising
Other tasks to be assigned from time to time.
