We are looking for a highly organised, proactive and service-minded Executive Assistant and Office Manager to provide high-level support to senior stakeholders and ensure the smooth day-to-day running of our Munich office. In this role, you will combine executive support, office management and people leadership responsibilities, acting as a trusted point of contact for internal and external stakeholders.
YOUR TASKS
Provide professional executive assistance to c-level and Partner roles, including complex calendar management, meeting coordination, travel arrangements and expense processing.
Prepare, review and coordinate correspondence, reports and other confidential documents in English and German.
Manage day-to-day office operations, ensuring a welcoming, efficient and well-organised working environment.
Lead and coordinate a small office support team of 3-4 people, ensuring clear priorities, effective collaboration and high-quality service delivery.
Support internal meetings, events, visitor management and employee engagement activities.
Drive continuous improvement of administrative and office processes, identifying opportunities to increase efficiency and service quality.
Handle sensitive information with a high level of discretion, professionalism and trust.
WHAT WE EXPECT FROM YOU
Several years of experience as an Executive Assistant, Office Manager, Team Assistant or in a comparable administrative role, ideally in a professional services, consulting or international business environment.
Fluency in both English and German, written and spoken, with the ability to communicate confidently and professionally across all levels of the organisation.
Initial leadership or coordination experience, with the ability to guide, motivate and develop a small team.
Excellent organisational skills, strong attention to detail and the ability to prioritise effectively in a fast-paced environment.
A proactive, hands-on and solution-oriented mindset with a strong service orientation.
Confident handling of Microsoft Office applications and digital collaboration tools.
High level of discretion, reliability and professionalism when dealing with confidential information.
Strong interpersonal skills and the ability to build trusted relationships with colleagues, leaders and external partners.
