Your Role
Responsibilities
Act as liaison with other departments to address and resolve internal and external issues in a timely manner.
Issues will-call bills of ladings
Maintain and order office supplies
Create MRO’s for Operations and Management.
Controls access to non-company vehicles via truck gate.
Organizes and prioritizes large volumes of information and calls.
Ensure adherence of all established administrative and clerical procedures of the office.
Package and prepare all outgoing packages and mail.
Receive, organize and distribute all incoming mail and packages.
Organize and prepare invoices and A/R documents to be singed and mailed to corporate for payment.
Scan and file all BOL’s, CoA’s and other documentation
Maintain document files for BOL’s, CoA’s, MRO’s and purchase orders.
Support customer service and sales as needed
Create a positive and professional office environment.
Represent the Brenntag Pacific group in a professional manner.
Observe, follow and enforce all Brenntag Pacific Policies and Procedures.
Attend all required training when scheduled unless absent from work.
Performs other duties as assigned by management
Your Profile
Experience
Ability to read, write and speak the English language.
Proficient level of skill in Microsoft Office, particularly Word and Excel, and the BUS system.
Possess the ability to work quickly, accurately and independently, capable of prioritizing multiple and competing projects.
Ability to perform under pressure with minimal supervision.
Possess high standard of work ethics to ensure confidentiality of company information
Ability to maintain a positive work attitude while executing duties.
Ability to define problems, collect data, establish facts and draw valid conclusions in a timely manner.
Possess excellent written/oral communication skills while paying great attention to detail.
Ability to effectively communicate with all levels of staff, including upper management.
Ability to work with internal and external customers, resolving problems in a manner acceptable to the customer and satisfaction of the company.
Willingness to work overtime as needed.
Education
Associates degree (A. A.) or equivalent from two-year college or technical school, experience inoffice management a plus, preferably in the chemical industry; or equivalent combination of education and experience.
