Job Overview
We are looking for an experienced ServiceNow SAM Architect with 6–12 years of experience, including strong hands-on expertise in ServiceNow Software Asset Management (SAM Pro), license management, software licensing, publisher normalization, and SAM-to-CMDB reconciliation.
The ideal candidate will own the SAM license engine architecture, license model configuration, publisher/normalization data quality, and reconciliation between SAM Pro and CMDB/CSDM. This role is critical from both commercial and audit perspectives, as incorrect license configurations or entitlement data can result in significant financial, compliance, and audit exposure.
The candidate should be a licensing-aware technical architect who can work closely with Procurement, Vendor Management, IT Asset Management, CMDB, and Architecture teams.
Key Responsibilities
SAM Architecture & License Management
Own the architecture, configuration, and governance of ServiceNow SAM Pro.
Design and maintain software license models, entitlements, rights, metrics, and compliance configurations.
Ensure accurate configuration of the SAM license engine based on publisher-specific licensing rules.
Review and remediate license engine configuration issues that may create financial or audit exposure.
Establish standards, governance, and best practices for SAM Pro implementation and ongoing operations.
SAM Pro Data Pipeline & Data Quality
Design, maintain, and govern the SAM Pro data pipeline, including software discovery, normalization, entitlements, contracts, and consumption data.
Own software publisher and product normalization/data quality processes.
Identify and resolve issues related to publisher normalization, software models, versions, editions, suites, and product recognition.
Establish data quality controls and KPIs for software asset data.
SAM–CMDB / CSDM Reconciliation
Own the technical relationship between ServiceNow SAM Pro, CMDB, and CSDM.
Design and maintain reconciliation processes between discovered software, installed software, configuration items, users, devices, and entitlements.
Ensure accurate mapping and synchronization between SAM Pro and CMDB data.
Define and maintain reconciliation reporting, controls, and accuracy metrics.
Identify data gaps and inconsistencies and drive corrective actions.
Audit & Compliance
Design and maintain an architecture that supports software license audit readiness.
Ensure SAM configuration and entitlement data are accurate and traceable ahead of publisher true-ups and audits.
Assess the compliance and commercial impact of license engine configuration changes.
Support internal and external software audits by providing accurate license positions, entitlement information, and compliance reports.
Maintain appropriate controls and documentation for audit evidence.
Procurement & Vendor Management
Partner closely with Procurement, Software Asset Management, Vendor Management, and Legal/Contract teams.
Validate entitlement and contract information used within SAM Pro.
Translate contractual licensing terms into technical license model configurations.
Support vendor true-ups, renewals, optimization initiatives, and licensing negotiations with accurate SAM data.
Provide technical guidance on licensing implications of software procurement and deployment decisions.
Architecture & Stakeholder Management
Represent SAM architecture in Architecture Review Boards (ARBs) where software licensing and compliance risks are involved.
Provide architectural guidance on SAM, CMDB, Discovery, integrations, and related ServiceNow capabilities.
Work with ServiceNow platform, CMDB, Discovery, ITAM, Security, Procurement, and Enterprise Architecture teams.
Drive continuous improvement of SAM architecture, data quality, automation, and reporting.
Must-Have Skills & Experience
6–12 years of overall IT experience, with significant experience in Software Asset Management / IT Asset Management.
Strong hands-on experience with ServiceNow SAM Pro implementation, configuration, and administration.
Experience designing and configuring software license models, entitlements, rights, metrics, and compliance calculations.
Strong understanding of software licensing concepts and commercial licensing models.
Experience with ServiceNow Discovery and/or Event Management.
Strong understanding of CMDB and CSDM concepts and their relationship with SAM.
Hands-on experience with SAM Pro–CMDB reconciliation and software consumption data.
Experience with software publisher/product normalization and data quality issues.
Strong understanding of the impact of incorrect SAM/license engine configuration on financial, contractual, compliance, and audit exposure.
Experience designing and maintaining SAM data pipelines.
Experience developing or governing SAM reconciliation, compliance, and audit reporting.
Strong understanding of software entitlement and contract data.
Experience working directly with Procurement, Vendor Management, Software Asset Management, and Contract Management stakeholders.
Ability to translate software licensing terms into ServiceNow SAM Pro technical configurations.
Strong analytical, problem-solving, stakeholder management, and communication skills.
Good-to-Have Skills
ServiceNow CIS – Software Asset Management (CIS-SAM) certification.
ServiceNow CIS – Discovery certification.
ServiceNow CIS – Event Management certification.
Experience with major software publishers such as:
Microsoft
Oracle
IBM
SAP
VMware/Broadcom
Adobe
Red Hat
Hands-on experience with publisher-specific licensing metrics such as:
Microsoft Core / Server / CAL / User-based licensing
Oracle Processor / NUP licensing
IBM PVU / VPC / RVU licensing
VMware/Broadcom core-based licensing
Experience supporting software licensing audits and publisher true-ups.
Previous involvement in licensing transformation or SAM maturity programs.
Experience with ServiceNow ITAM, HAM Pro, CMDB, Discovery, Service Graph, and IntegrationHub.
Experience integrating SAM Pro with procurement, contract management, discovery, HR, identity, or third-party asset/license data sources.
Experience defining SAM governance frameworks, operating models, controls, and KPIs.
Knowledge of ITIL / ITAM / SAM best practices.
Experience presenting SAM architecture and licensing risks to Architecture Review Boards or senior leadership.
ServiceNow CSA certification is an advantage.
