Operations Assistant — Remote, Latin America
Academic Allies / PeakPrep

About Us
Academic Allies and PeakPrep provide online academic tutoring, SAT preparation, and college advising. We’re looking for an organized, reliable Operations Assistant to support our manager and keep daily operations running smoothly.
This role primarily focuses on internal coordination and administrative support. You’ll need clear spoken and written English to communicate with our team and participate in video meetings.
Responsibilities
Support tutor recruitment and onboarding, including scheduling interviews and tracking onboarding tasks.
Coordinate student–tutor matching, scheduling, rescheduling, and tutor coverage.
Create and organize communication groups for students, parents, and tutors.
Monitor group activity and flag unanswered questions or operational issues to the appropriate team member.
Track attendance for tutoring sessions and PeakPrep classes.
Maintain accurate spreadsheets, student records, and task trackers.
Follow up with tutors and team members to ensure outstanding tasks are completed.
Document recurring processes and help improve administrative workflows.
Escalate issues requiring a manager’s decision.
Qualifications
Experience in administration, scheduling, operations support, or a similar role.
Clear spoken and written English, including confidence participating in live video meetings.
Strong organization, attention to detail, and consistent follow-through.
Ability to manage multiple tasks and learn new systems.
Comfort using Google Sheets, Google Docs, calendars, messaging platforms, and video meeting tools.
Reliable internet, a computer, and a quiet workspace for meetings.
Based in Latin America, with availability to work agreed hours aligned with New York time.
Experience in tutoring or education is a plus. Familiarity with GoHighLevel, Slack, or Quo/OpenPhone is helpful but not required.
Schedule & Compensation
The position begins with a four-week paid trial at 25 hours per week, compensated at $7–$8 USD/hour, depending on experience. This equals $700–$800 USD for 100 hours over the trial.
Following a successful trial, there is an opportunity to transition to 40 hours per week. At the advertised hourly range, full-time compensation averages approximately $1,213–$1,387 USD per month.
Higher compensation may be considered based on demonstrated skills, experience, and the responsibilities taken on.
The trial includes training and real operational tasks. We’ll evaluate reliability, communication, accuracy, organization, and follow-through. The exact schedule, including any evening or weekend requirements, will be agreed upon before starting.
