About the Role
Citadel Fence is looking for an experienced Senior Accounting & Administrative Coordinator who enjoys accounting work and wants a role that goes beyond the ledger.
In this role you will manage the company's day-to-day accounting and financial operations, including accounts payable and receivable, reconciliations, payroll, month-end close and financial reporting. You will also be a key administrative resource for the leadership team, supporting sales, customers and suppliers so that projects move smoothly from quote approval through to final payment.
This is a hands-on role for someone who likes a small business environment, is comfortable with a broad range of responsibilities, takes pride in getting the details right, and wants to leave every process stronger than they found it.
Key Responsibilities
Lead month-end close, including reconciling bank accounts, credit cards, loans, and the AP and AR subledgers to the general ledger
Prepare monthly financial statements and reports including cash flow and job costing
Support budgeting and job-cost tracking across active projects
Assist with Work-in-Progress (WIP) reporting and related journal entries
Track fixed assets and equipment, including capital purchases and depreciation schedules
Assist with year-end physical inventory counts and reconciliation to the general ledger
Liaise with the external accountant on year-end and tax filings
Process and review bi-weekly payroll
Calculate, submit, and track government remittances, including payroll, HST, and WCB, across multiple provinces
Process supplier invoices and data entry through Dext and QuickBooks Online
Ensure timely payment of subcontractors and suppliers
Manage Visa transactions and receipts, and maintain accurate payment records
Complete commercial and residential customer billing
Collect deposits, conduct collections calls, and follow up on outstanding accounts
Coordinate customer financing applications and release funds through FinanceIt
Support sales staff with quotes, deposits, and commission reporting
Maintain office systems and records
Provide administrative support to the leadership team
Other duties as assigned
Qualifications
Diploma or degree in Accounting, Business, or a related field, or equivalent experience
4+ years of accounting experience, with demonstrated comfort managing reconciliations, month-end close, payroll, and financial reporting
Experience with QuickBooks Online is considered an asset
Proficiency with Microsoft Office, including strong Excel skills
Experience with Dext, FinanceIt, or LMN is an asset
Experience in construction, fencing, landscaping, or another project-based industry is an asset
Strong organizational, communication, and customer service skills
Detail-oriented, with the ability to manage competing priorities and meet deadlines
Able to work independently and as part of a small team
What We Offer
Salary of $58K to $70K per year, based on experience
2 weeks paid vacation
