The PositionThe Opportunity
We are seeking an Administrative Business Professional (ABP) to support Genentech’s Postdoctoral Program and its vibrant scientific community of approximately 180 postdoctoral fellows and 130 mentors. This role is central to the day-to-day operations of the program and helps deliver an effective, engaging, and well-coordinated experience for fellows, mentors, program leadership, and partners.
Partnering closely with and supporting the Principal Postdoctoral Program Manager, you will coordinate a broad range of administrative and operational activities, including meetings and events, communications, stakeholder coordination, purchasing and vendor processes, and information management.

Key Responsibilities
Provide day-to-day administrative and operational support for a Postdoctoral Program community of approximately 180 fellows and 130 mentors, coordinating activities, and deliverables.
Serve as a key administrative and operational resource for fellows, mentors, program leadership, and internal partners, responding to inquiries (i.e event logistics, speaker requests) and facilitating timely follow-up.
Coordinate fellow onboarding and offboarding and provide administrative support for candidate interviews, campus visits, scientific visitors, mentor activities, and other program needs.
Oversee operational logistics for all program meetings and events, including scientific seminars, professional development workshops, orientations, Town Halls, networking events, offsites, and the Postdoctoral Program Showcase. This includes scheduling of venues, registration, speakers, travel, catering, audiovisual needs, materials, participant communications, and tracking overall attendance metrics.
Help to oversee and support our Postdoc recognition initiatives and develop some new ideas to make them feel more visible in the community.
Draft and distribute program announcements, event communications, and other materials for the fellow and mentor communities.
Coordinate purchasing and vendor activities, including purchase requisitions, invoices, payments, expense tracking, vendor documentation, and procurement processes.
Maintain accurate and confidential program records, shared resources, distribution lists, websites, and administrative documentation.
For new mentor position allocations, help Principal Postdoctoral Program Manager track decisions, action items, and requests.
Proactively follow up with internal (i.e People Experience Team) and vendors to keep professional development and social activities moving forward.
Identify opportunities to streamline administrative processes, strengthen program operations, and enhance the experience of fellows, mentors, and other stakeholders.
Qualifications
3+ years of progressively responsible administrative, postdoctoral program operations, coordination, or related experience.
Strong organizational, planning, communication, and problem-solving skills, with demonstrated ability to manage multiple priorities and stakeholders.
Experience coordinating meetings, events, or activities involving multiple participants and complex logistical requirements.
Ability to work independently, anticipate needs, exercise sound judgment, and proactively resolve routine administrative and operational issues.
Strong attention to detail and ability to handle confidential and sensitive information with discretion.
Strong interpersonal and people-centered skills, with a demonstrated ability to foster collaborative and effective working relationships across functions and organizational levels.
Proficiency with Microsoft Office, Google Workspace, virtual collaboration tools, and related business systems.
Preferred Qualifications
Experience supporting postdoctoral training programs or professional development organizations, or programs.
Experience coordinating large meetings, scientific events, workshops, offsites, or professional development activities.
Experience with onboarding/offboarding, recruiting coordination, purchasing, vendor management, invoicing, or procurement processes.
Familiarity with systems such as Workday, Google Suite, ChatGPT, Claude, or similar enterprise and collaboration tools.

Pay transparency
The expected salary range for this position based on the primary location of South San Francisco is 76,400.00 - 141,800.00 USD Annual. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
