THE ROLE
The Purchasing Associate at Haydon Corporation supports day-to-day procurement execution and supplier performance to ensure materials arrive on time, at the correct quality and cost, and are accurately reflected in Haydon's systems. This role owns routine purchase-order administration, expediting, proactive supplier delivery confirmation, issue resolution, supplier follow-up, and cross-functional support for inventory, Accounts Payable, and Quality processes. The role is designed for a motivated individual who wants to learn, take increasing ownership, and grow within Procurement and Supply Chain.
Responsibilities include, but are not limited to:
Create and manage purchase orders, ensuring accuracy, timeliness, and alignment to approved requirements, pricing, quantities, and delivery dates.
Own day-to-day expediting of open purchase orders. Proactively confirm supplier delivery dates after order placement and ahead of need dates, identify potential delays early, and drive actions to protect production and customer requirements.
Maintain frequent, professional communication with suppliers to obtain quotes, confirm order status and commitments, follow up with late suppliers, escalate misses, and resolve issues related to delivery, quantity, pricing, or quality.
Support supplier management by maintaining strong working relationships, monitoring supplier commitments and performance, documenting recurring issues, and helping drive improvement actions with existing suppliers while supporting qualification of new vendors.
Monitor inventory levels and assist in the evaluation of stock requirements.
Help implement inventory control procedures to minimize excess and obsolete stock.
Maintain accurate records of purchases, supplier information, and inventory levels in procurement systems.
Generate reports on purchasing activities and inventory status for management review.
Conduct research on potential suppliers and market conditions to identify cost-effective purchasing options.
Stay informed about industry trends that may impact purchasing decisions.
Work closely with production, quality assurance, and engineering teams to ensure that materials meet specifications and requirements.
Provide administrative support to the purchasing department, including maintaining documentation and preparing correspondence.
Partner with Quality and suppliers to resolve material discrepancies and nonconforming material reports (NCMRs), including coordinating dispositions, replacements, credits, containment, and corrective actions as required.
Support supplier evaluations, scorecards, and performance assessments; follow up on gaps and agreed actions through closure.
Initiate and coordinate Root Cause Corrective Action (RCCA) with suppliers for significant or recurring delivery, quality, service, or process failures; ensure corrective actions, owners, and due dates are documented and tracked to closure.
Investigate and help resolve Accounts Payable (A/P) issues, including invoice, purchase-order, goods-receipt, pricing, quantity, and payment discrepancies, in coordination with suppliers, Receiving, and Finance.
Identify and implement internal process improvements that improve purchasing efficiency, data accuracy, supplier responsiveness, controls, and service to Operations and other internal stakeholders.
Professional Qualifications
1-3 years of experience in purchasing, procurement, supply chain, operations, or a related function; manufacturing experience is preferred.
Bachelor’s degree in Supply Chain Management, Business Administration, or a related field preferred; relevant experience may be considered in lieu of a degree.
Strong problem solving and analytical skills to identify and resolve purchasing and inventory issues.
Excellent communication and interpersonal skills
Experience with SAP
Strong organizational and multitasking skills with attention to detail.
Proficiency in Microsoft Office Suite, and familiarity with procurement software.
Demonstrated ability to manage multiple supplier commitments, priorities, and deadlines with consistent follow-through and attention to detail.
